Responsibilities:
- Answer phone calls that the receptionist is unable to answer and direct them to the appropriate department or individual
- Consistently communicate with other departments so that everyone is on the same page
- Handle incoming and outgoing emails
- Perform general clerical duties such as filing, photocopying, scanning documents, creating files for customers, and taking notes
- Utilizing Quickbooks/Word/Excel to post invoices and track customer information
- Interacting with customers as needed in a friendly/upbeat manner
- Assisting others in the office with various tasks such as getting quotes from vendors, following up on estimate/supplement approval from insurance, documenting vehicle information
- Ordering car parts for the estimator and body technicians as needed
- Checking in and tagging car parts that have arrived for the body technicians
- Notifying the body technicians as well as the estimator on the status of car parts and when they do come in/how soon they will come in
Experience:
- Must have previous experience working in a front desk or admin role
- Previous experience in a collision center office heavily preferred
- Familiarity with phone systems and office equipment/programs
- Strong computer literacy, including proficiency in Word/Excel/Outlook/Quickbooks
- Knowledge of clerical procedures and basic office management tasks
- Excellent phone etiquette and communication skills
- Must be able to multitask, prioritize tasks, and retain information
- Strong attention to detail and accuracy in data entry and record keeping. This is very important as we utilize many various numerical or code systems to keep track of jobs including RO, tag number, VIN, license plate, year/make/model, color, claim number, customer name, etc..
- Familiar with working in a team-based environment with mutual support/help
