Hospitality Health ER is a freestanding ER with locations in Longview, TX and Tyler, TX and Galveston, TX. We have an immediate need for a Front Desk Coordinator at our Longview facility. Position Responsibilities

Under the direction of the Regional Registration Coordinator and Director of Operations, the Front Desk Coordinator at Hospitality Health ER will be responsible for, but not limited to:

  • Overseeing the organizing, planning and prioritization of the Registrars
  • Planning daily tasks for the Registrars; anticipating the facility and patient needs and volume in order to complete tasks timely and best offer the HHER experience; ensuring all shifts are filled and overtime is minimized
  • Assessing and reporting progress in meeting department objectives
  • Managing staffing needs to include interviewing, hiring, new hire and ongoing training, evaluations, and corrective action
  • Fulfilling responsibility of Registrar as needed by scheduling demands
  • Coordinating staffing requirements of the Registrar position
  • Conducting interviews and recommending new hires
  • Managing the training requirements of new hires to include all training documentation, training progress reports, and implementing new or improved training programs
  • Providing accurate reporting of patience census and financial log reports for all HHER branded facilities
  • Maintaining the working operation of the registration software
  • Partnering with Front Desk Coordinators at all facilities
  • Informing BOM of all front desk operations
  • Meeting and maintaining the guiding principles of care for Hospitality Health ER
  • Participating in activities to plan, measure, assess and improve the quality of front desk operations
  • Showing initiative and self-direction in providing support to VP of Business Operations, Regional Registration Coordinator, and all staff
  • Communicating appropriately with all levels of staff
  • Maintaining a safe and clean working environment by complying with procedures, rules, and regulations; adhering to infection control policies and procedures
  • Showing knowledge when collaborating with physicians, nurses and other clinical facilities in making decisions
  • Organizing workflow and ensuring that employees understand their duties and delegated tasks
  • Mentoring new staff and providing training, constructive feedback and coaching
  • Maintaining operations by following policies and procedures
  • Maintaining continuity among work teams by documents and communication actions, irregularities, and continuing needs
  • Contributing to team effort by accomplishing related results as needed
  • Communicating appropriately with patients, visitors, and co-workers
  • Organizing workflow and ensuring that employees understand their duties and delegated task
  • Coordinating and communicating with Human Resources with any and all employee relations issues/updates and payroll inquiries of issues
  • Notifying payroll in a timely manner of any bonus eligibility and time off request
  • Maintaining professional appearance and good personal hygiene per company policies
  • Adhering to the guiding principles and policies set forth by Hospitality Health ER
  • Encouraging and building mutual trust, respect and cooperation amongst team members
  • Motivating staff to execute the job to the best of their ability
  • Contributing to meeting the mission and goals of Hospitality Health ER
  • Maintaining professionalism in job performance and practice
  • Displaying integrity and honesty
  • Maintaining a positive attitude towards patients, guests, visitors, and co-workers
  • Communicating effectively with patients, nurses, physicians, and all other hospital personnel
  • Completing daily responsibilities upon arrival and prior to departure of shift

Position Requirements

The competency requirements for the Front Desk Coordinator at Hospitality Health ER are:

  • Strong communication skills and display a positive attitude and passion for Hospitality Health ER
  • Maintains flexibility and availability for on-call and any coverage requirements that are not otherwise met by the Registration staff
  • Critical thinking skills; ability to work autonomously and make efficient use of time and resources
  • Understanding of clinical care and privacy
  • Proven track record of excellence with time management, organization and attention to detail
  • Observable professionalism, productivity and customer service
  • Experience in health-related fields and knowledge of medical terminology
  • Successful completion of clinical orientation with proven capabilities in skill, knowledge base and vision of Hospitality Health Emergency Room
  • Takes initiative and always looking for ways to help flow efficiently
  • Maintains skill level by continuing education, collaborative training with co-workers and physicians and annual check-offs
  • Ability to listen and follow directions
  • Ability to work unsupervised; Willingness to take an initiative and ability to work as a team
  • Ability to always maintain a professional manner
  • Displays integrity and honesty
  • Customer service experience; demonstrated ability to customer service practice related to direct patient care in high volume, high stress environment
  • Strong interpersonal skills, impeccable organizational and time management skills

Education/Experience

  • High School Graduate/Equivalent, College preferred
  • Ability to read, speak and write the English language
  • Must follow oral and written directions

  • Atmospheric conditions: fumes, odors, dust, mists, gases, or poor ventilation
  • May be required to work in narrow aisles or passageways
  • Working with hazardous chemicals
  • Potential exposure to communicable disease

Benefits and Compensation
  • This is a salaried, exempt position; hours are expected to vary from time to time as staffing is 24/7, but standard hours will be Monday through Friday, 8 AM to 6 PM with flexibility to work nights and weekends as needed
