Position Summary:
We have an exciting opportunity to join our team as a Medical Office Associate.
In this role, the successful candidate will be responsible for providing administrative support functions for hospital-based outpatient pulmonary practice. The incumbent will be responsible for obtaining all pre-authorizations and necessary referral documents for treatments and diagnostic procedures as appropriate. In addition the incumbent will assist with inter-departmental scheduling for patient visits, treatments, and procedures through collaboration with other departments as needed. Successful candidates need to establish and maintain effective relationships with patients and their families via active listening, empathy, rapport, courtesy and professionalism.

Job Responsibilities:

    • Obtain all insurance eligibility verification, pre-authorizations, referrals and other required information to secure insurance authorization for scheduled treatments and diagnostic procedures.
    • Ensure that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process and questions physicians, as needed, to ensure accuracy and completeness of information.
    • Collection of documentation as needed from patients, providers, and insurers.
    • Scheduling of patient procedures, orders and ancillary studies and entry of pertinent authorization and referral information into Epic.
    • Collaborate with billing team to research and resolve denials from insurance carriers using a variety of methods dependent on the denial reasons, including invalid diagnosis, authorization required or invalid policy number. 
    • Release medical records in accordance with HIPPA and ROI guidelines. Documents disclosures in Epic and fulfills requests within a 10 day timeframe.
    • Maintain patient privacy as it relates to HIPPA standards.
    • Monitor and complete assigned Epic work queues to address required tasks and workflows in a timely fashion.
    • Promote a positive patient experience throughout all patient interactions in person or by electronic communication.
    • Monitors and completes assigned administrative in basket messages in a timely manner and according to practice guidelines.
    • Remain current on policies and protocols including workflow updates, FOCUS trainings, and job-related tasks and best practices.
    • Demonstrate knowledge of the organization’s service standards and incorporates them into the performance of duties.
    • Maintain cooperative and professional relationships with clinical and administrative staff both within and outside of the organization.
    • Exercise skill in prioritizing assignments in order to complete assigned work in a timely manner during changes in workload, assignments, deadlines, or organizational needs.
    • Demonstrate effective communication skills using appropriate vocabulary and grammar when obtaining and conveying information at all times.
    • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff. Maintains confidentiality on matters to which they are privileged.
    • Perform other related duties as needed by providers and supervisors.

Minimum Qualifications:
High School Diploma. Excellent organizational, interpersonal and verbal and written communications skills and strong customer service orientation required. Basic knowledge of word processing, spreadsheet, database and Internet applications required. Light, accurate keyboarding skills required. Ability to complete multiple tasks efficiently and thrive in a team work environment.

Preferred Qualifications:
Intermediate knowledge of computer-based scheduling and appointment programs strongly preferred. 3-5 years of experience working in a similar healthcare setting or role.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $41,977.18 - $57,240.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
