Position Summary:
We have an exciting opportunity to join our team as a Project Coordinator, Part Time - LICH Project Management - Mineola.
In this role, the Project Coordinator is responsible for coordinating the administrative activities and responsibilities for the Project Management Department. Part of this includes providing administrative coordination and support to the Director of Strategic and Operational Initiatives, Senior Project Manager and Project Managers. Performs both non-routine administrative and coordination duties that require experience, skill, discretion, independent critical thinking, and knowledge of complex organization policies and practices and hospital operations.

Job Responsibilities:

* Performs other duties as assigned
* Supports director with administrative detail on various assigned projects and the administration of the day-to- day operations.
* Completes project and special assignments by establishing objectives, determines priorities, managing time, gaining cooperation of others monitoring progress, problem solving making adjustment to plans.
* Resolves routine and complex inquiries. Responds independently and/or drafts responses for director's review to correspondence. Gathers information and follows up with appropriate staff on behalf of director. Accountable for screening of incoming mail, email and telephone communication and in person inquiries from vendors and colleagues.
* Identifies, follows up and tracks requests of great importance which require immediate attention including projects, reports, memos and other documents as needed in a timely and accurate manner.
* Coordinates production and distribution of related project material as required. May prepare meeting notices, reports and agendas, notifies attendees; and resolves scheduling conflicts. Records and tracks meeting minutes follow up items. Ensures timely resolution of critical issues and other matters when needed.
* Ensures compliance with any record retention procedures. Develops and maintains appropriate document filing systems (both hard copy and electronic), for easy reference and access. Maintains confidentiality and recommends solutions or actions required.
* May have budget oversight as directed. Monitors supply inventory; orders and stocks all office supplies. May prepare expense reimbursement requests, and maintains office equipment as assigned.
* Maintains confidentiality and good judgment in dealing with highly confidential information and materials.
* Exercises discretion and independent judgment in comparing and evaluating options and approaches to various activities, including possible courses of conduct, and acting or making a decision after the various possibilities have been considered.
* Gathers, enters and/or updates data to maintain Departmental records and databases as appropriate; establishes and maintains files and records.
* Performs work related to various assignments and/or particular projects of the Department that affect the overall business operations of the institution to a significant degree (i.e. business plans, strategic initiatives, etc.).
* Serves as liaison and face as the primary point of contact for the Department, including the ability to effectively communicate and interface with Executive Leadership, Chairs, the Executive Assistants and Departmental leaders, and other internal/external key stakeholders.
* Other administrative/coordination duties include, but are not limited to:Management of the process for the MyTime system, including coordinating the Department's time-off submissions. Supports the Director in the assessment and approval of time off across the team.
* Coordination and support for Department meetings.

Minimum Qualifications:
To qualify you must have a Bachelor's Degree in business administration, health care administration or related field or an equivalent combination of education and relevant experience Required. 1-3 Years progressively responsible experience in education or healthcare, quality improvement, preferably in the academic setting Required. Ability to work with an interdisciplinary team and communicate with a large number of medical school faculty Required. Solid project development / management experience Required. Ability to read and understand standard documentation Required. Strong written and oral communication skills. Strong organizational and team building skills Required. Proven ability to work on several projects simultaneously and under tight schedules Required. Understanding of applied health education research Required. Moderate-advanced computer proficiency, including, standard office software applications Required. Ability to use all basic office equipment Required.

Preferred Qualifications:
Knowledge of data collection and interpretation is Preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $30.00 - $40.77 Hourly. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
