JOB TITLE: Patient Care Coordinator (Departments: Medical Records, Front Desk Reception, Check Out/Registration, Referrals)

Patient Care Coordinator
Greets, instructs, directs and schedules patients and visitors
Answers and routes phones
Serves as a liaison between patient and medical support staff
Accurately verifies patient insurance eligibility and benefits
Submits all prior authorizations for specialty services
Manages the check out desk and makes sure all patients are registered in the portal and have follow-ups scheduled
Completes, provides to patient, and keeps track of, Good Faith Estimates (as applicable)
Scans and files PHI
Processes incoming and outgoing medical records requests
Requests and processes ED reports
Is the HIPAA officer for staff and patients to turn to for HIPAA-related questions
Retrieves superbills from billing department and scans them into patient charts
Prepares paperwork for new & returning patients
Verifies all patient paperwork is correctly filled out and submitted
Serves as an assistant/back up to the referral coordinator
SUPERVISION RECEIVED:
Reports directly to Front Office Lead
ESSENTIAL FUNCTIONS:
1. Serves as front-line patient contact. The first impression that a parent/patient receives either on the phone or at the front desk is the most important and can influence the entire visit.
a. Greets patients and visitors in a prompt, courteous, friendly and helpful manner.
b. Checks in patients, verifies and updates necessary information in the electronic medical record. Screens visitors and responds to routine requests for information.
2. Handles scheduling and patient communications.
a. Maintains appointment schedule and follows office scheduling policies.
b. Answers telephone, screens calls, takes messages and provides information.
c. Attends staff meetings regarding patient-scheduling and communications.
3. Handles ROI & front-desk paperwork and reception area maintenance.
a. Enters patient and insurance data into computer; making accuracy a high priority.
b. Collects co-pays and balances due, ensuring that the payer is given a receipt.
c. Prepares/prints superbills, making appropriate notes: ie., arrival time, new-patient, PNP, etc.
d. Organizes desk area so that paperwork/supplies are easily accessible to anyone tending to the front desk and related areas.
e. Checks insurance for next-day patients and makes sure that patients are eligible for visit and that our office is the primary care practice.
f. Prints next-day schedule and calls to confirm appointments before closing time. If there is a problem regarding insurance, be sure to inform parent at this time so they can fix it before the visit.
g. Checks portal
h. Responds to email inquiries
i. Balances the monies that were brought in for that day and saves report for our billing office.
j. Front desk should be organized and ready for the next day at closing time; so that a replacement receptionist could easily find everything they need to properly work the front desk.
k. Makes sure that the waiting room is neat and tidy at all times.

EDUCATION:
High school graduation or GED; knowledge of business office procedures; knowledge of grammar, spelling and punctuation. Knowledge of medical terminology desirable. Computer experience required.
EXPERIENCE:
Minimum one year work experience in medical reception, medical records, EMR, faxing, scanning, printing.
REQUIREMENTS:
1. Sitting for long periods of time.
2. Using computer screen for long periods.
3. Manual dexterity sufficient to operate a keyboard, type at 60 wpm, operate a calculator, telephone, copier and other office equipment.
4. Occasional stress from working with ill people, with many interruptions.
5. Ability to lift 30 pounds
6. Faxing/scanning
SKILLS:
