    JOB DESCRIPTION:

    The Facilities Finance Representative is a critical member of the Business and Operations Team. This person will. manage and update Facilities projects in order to be able to financially and operationally efficient. The representative will maintain the financial welfare of the department by conducting financial and variance analysis on a monthly basis, performing a variety of analytical, trending & forecasting financial and decision-making activities directly supporting the Facilities department, and exercise independent consideration and judgement in order to make sound financial decisions. This is a twelve-month position.

    DUTIES AND RESPONSIBILITIES:

    • Manage and update Facilities project tracker in order to be able to financially and operationally forecast upcoming projects, funding sources, timelines and facilities expenditures
    • Create purchase requisitions in advance of expenditures
    • Review facilities invoices for accuracy and payment
    • Vendor management and correspondence
    • Facilities data analytics, rate analysis and trending
    • Utilities and rate forecasting, including automating charges and invoices from vendor’s system
    • Partner with Finance and Grant departments related to capital expenditures
    • Prepare P-Card submission and review for Facilities department
    • Assist in creating Facilities financial policies and procedures, as well as updating antiquated processes
    • Automate Facilities systems and financial monitoring
    • Assist in managing custodial overtime
    • Review any rental agreements and confirm that the district is receiving revenue for rentals whenever possible
    • Create inventory management system to track inventory levels and usage of Facilities supplies and materials
    • Monthly financial and variance analysis
    • Independently performs a variety of analytical, trending & forecasting financial and decision-making activities directly supporting the Facilities department
    • Maintain working relationship with vendors for Facilities (e.g., resolve discrepancies on billing, payment of accounts, etc.) to ensure future business relationships are maintained
    • Resolve billing and statement discrepancies of Facilities accounts to ensure accurate accounting
    • Monitor outstanding Facilities purchase orders by verifying that goods have or will be received. Close open purchase orders as authorized by department
    • Assist in managing Facilities financial contracts for purchased services (such as outsourced custodial services)
    • Exercise independent consideration and judgement in order to make sound financial decisions
    • Attend weekly meetings with the Facilities/Operations department and assist in updating the annual and year-end financial view of the Facilities budget as well recommend areas for improvement and analysis in within the budget
    • Assist in preparing near-term and long-range projections of financial operations for Facilities departments
    • Assist in preparing any necessary budget transfers for the Facilities department
    • Assist in the next year’s budget preparation for Facilities
    • Maintain confidential information at all times
    REQUIRED QUALIFICATIONS:
    Demonstrated ability to collaborate with Facilities, Finance central office, and City of Norwalk staff. Ability to effectively communicate in person and in writing. Ability to organize work schedule to meet deadlines. Expertise with Excel (VLookup, Pivot Tables, etc.). Bachelors Degree in Accounting, Finance, or Business. At least five years’ experience in Finance role preferred.
    PREFERRED QUALIFICATIONS:
    Experience with school operations and facilities.
    Compensation:$90,000-$100,000 depending on experience
