Northwest Mechanical Group is Hiring a Service Project Coordinator Near Canby, OR

We are Northwest Mechanical Group, a family-owned business based in Canby that prides ourselves in taking care of our employees and providing exceptional commercial HVAC and refrigeration, and plumbing services in the PNW.

We are hiring a Service Project Coordinator to join the team. We’ve got all the important details for your review below, and if it seems like a mutual fit, we can’t wait to meet you!

  • Location: Canby, Oregon (full-time onsite at the office)
  • Schedule: Monday-Friday; 7AM-4PM
  • Pay Range: $26-$28 per hour
  • Benefits: We offer 100% employer paid medical, dental, & vision benefits for our employees. In addition, we provide 2 weeks of PTO, 8 paid holidays and a 401K with up to a 4% employer match.

Day to day: The Service Project Coordinator is the second point of contact (following the service coordination team) to speak with customers and vendors regarding their HVAC, Commercial Refrigeration and plumbing projects.

Here's a general overview of what the role entails:

  • Generating new quotes for customers by compiling documents, pictures and information gathered from our service technicians.
  • Submitting quotes for internal review prior to sending out to customers.
  • Monitoring internal systems for part requests.
  • Researching and ordering parts for the jobs.
  • Notifying the Service Coordinators (dispatch) of part availability and ETA.
  • Receiving incoming shipments and verifying orders are complete with no damage, resolving issues if they arise.
  • Working closely with customers to ensure smooth flow of work.
  • Preparing and submitting quotes and invoices through specific customer portals.
  • Assisting technicians with customer portals as needed.
  • Assisting techs with staying within customer budget thresholds.
  • Promptly answering phones and directing calls.
  • Supporting the Service Coordinators (dispatch) with overflow, taking service requests, scheduling technicians, and processing work orders.
  • Performing inventories on technician vehicles.
  • Assisting in prepping phones and tablets for new technicians or equipment replacement for existing technicians.
  • Assist Accounts Payable as needed to resolve discrepancy between negotiated vendor cost and charge relating to quotes.
  • Item pricing review.
  • Work closely with Customers who have specific process/procedures to ensure smooth flow of work.
  • Other duties as assigned.

Qualifications: Although we value skills like experience as a service coordinator, project coordinator, dispatcher, office coordinator, administrative assistant, or any administrative experience in the trades; We REALLY value the skills that aren’t necessarily tangible.

Technical requirements:

  • Proficiency in Excel (using basic spreadsheets, tables, and formulas)
  • Adapting to multiple technology systems such as customer portals
  • High school diploma or equivalent
  • Must complete a pre-employment background check and drug screen upon hire

Team Dynamic: Northwest Mechanical Group proudly employs 35-40 team members locally. This position will work closely with our 2 service coordinators that are dispatching calls, our technicians that are experts out on the job sites, and our service manager that makes sure operations run smoothly.
