Job Title: Automotive Body Shop Administrative Assistant
Job Summary: As an Automotive Body Shop Administrative Assistant, you will play a vital role in supporting the efficient operation of the automotive body shop. Your primary responsibilities will revolve around providing administrative support to ensure smooth workflow within the shop. This role requires excellent organizational skills, attention to detail, and the ability to communicate effectively with both customers and internal team members.
Responsibilities:
1. Customer Interaction:
· Greet customers and assist with inquiries in a courteous and professional manner.
· Schedule appointments for vehicle inspections, repairs, and estimates.
· Maintain communication with customers regarding the status of their vehicles and updates on repairs.
· Address customer concerns and provide assistance in resolving any issues.
2. Administrative Support:
· Manage phone calls, emails, and other correspondence promptly and professionally.
· Maintain accurate records of customer information, vehicle repairs, and invoices.
· Prepare and process repair orders, estimates, and invoices using automotive management software.
· Coordinate with insurance companies for claims processing and documentation.
· Handle billing and payment processing accurately and efficiently.
3. Scheduling and Coordination:
· Coordinate appointments and prioritize repair jobs based on urgency and availability of parts.
· Liaise with the parts department to ensure timely availability of necessary components for repairs.
· Schedule deliveries and pickups for customers' vehicles as needed.
· Assist in organizing and maintaining the cleanliness and orderliness of the shop area.
Qualifications:
· High school diploma or equivalent; additional certification or training in administrative assistance is a plus.
· Proven experience in administrative support roles of a body shop.
· Proficiency in computer applications such as MS Office (Word, Excel, Outlook) and automotive management software.
· Strong organizational skills with the ability to multitask and prioritize tasks effectively.
· Excellent communication and interpersonal skills.
· Attention to detail and accuracy in record-keeping and data entry.
· Knowledge of automotive terminology and basic understanding of vehicle mechanics is desirable.
· Ability to work independently with minimal supervision and as part of a team.
Working Conditions:
· This position typically operates in an office environment within the automotive body shop.
· May involve occasional exposure to moderate noise levels and fumes from automotive repair activities.
