Summary:
Under the supervision of the Manager Imaging Services, the incumbent is responsible for the clerical duties of all Imaging Departments. The incumbent also acts as a liaison for all Imaging departments, physicians, the public, and patients of appropriate ages. The incumbent is responsible for maintaining patient records, transcribing and entering orders into the computer system. May assist technologist with transport of patients and preparation of exam room prior to procedure. The incumbent is responsible for the facilitation of the patient admission process assisting the clinical staff by collecting accurate demographic information. The incumbent performs duties and tasks in accordance with performance standards established for the job. The incumbent may have access to highly confidential patient, employee and/or Mercy proprietary information, and must handle and protect the information in accordance with hospital and system policies, HIPAA requirements and the highest level of ethical standards. The incumbent is responsible for reporting all security events, potential events, or other security risks to the organization. The incumbent is responsible for participation in and completion of all patient safety initiatives appropriate to the position and conducts all job responsibilities according to the Mission and Values of the Hospital.
Responsibilities:
1. Management of all telephone communications:
· Receives requests from referring physicians.
· Receives requests from physicians office staff.
· Courteously answers telephone within three rings.
· Directs and relays all calls appropriately and in a timely manner.
· Independently prioritizes assigned unit activities.
· Explains preparations and procedures to patients/families.
· Relays Radiology reports to physicians.
· Calls physician offices for supporting documentation such as physician orders, previous exams, lab results, etc.
· Receives calls and requests from other departments in Mercy Hospital, such as the OR, ED, Laboratory, etc.
· Relays stat requests to technologists for prompt response.
· Accurately transfers calls from referring physicians to the appropriate radiologist or department.
· Receives requests from outside office for patient films.
2. Coordinates and performs patient related activities:
· Assists patients and families in obtaining appropriate signatures for consent forms as per established procedures.
· Courteously and professionally meets and greets all patients/families, staff, and visitors arriving to the Imaging Departments.
· Notifies provider of patient/visitor arrival in a timely manner.
· Serves as chaperone for patient procedures as requested.
3. Patient Data Management:
· Accurately interprets and enters patient orders.
· Sends and receives patient records/films to and from outside offices, hospitals, and clinics, as well as internal customers.
· Interacts directly with Patient Registration.
4. Customer Service Skills and Applications:
· Greets patients at the front desk courteously.
· Explains procedures and preparations to patients.
· Assists referring physicians with record/report location.
· Assists radiologists in record/report location.
· Contacts referring physicians for radiologists.
· Answers and refers calls from referring physicians to radiologists.
· Informs modalities of patients arrival.
· Responds to requests from patient floors, the OR, ED, and all other departments.
5. Provides support for all clinical areas:
· Ensures that all prior patient records are available for the next days scheduled patients.
· Forwards telephone calls to modalities.
· Compiles new patient paperwork/records for all modalities.
· Assists Technologists in locating records and compiling documentation.
6. Performs additional duties as required or assigned.
· Actively participates as a member of the Radiology team.
· Ensures functionality of office equipment, including copy machines, fax machines, and printers.
