Position Summary, Requirements, and Qualifications

Overview
Located west of Chicago in a close-knit community, NIU offers big-city resources and small-town charm. The Accounting Officer is in Accounts Payable & Travel, which is a unit within the Division of Administration and Finance. The position provides service for all areas on campus. This position has a hybrid work schedule, but could revert back to working onsite as needed for daily operations; M-F 8:4:30 pm through probationary period; a lot of requirements whether regulation or system requirements.

Position Summary
Under general supervision, this employee performs highly complex duties that require independent judgment and initiative, an extensive knowledge of bookkeeping procedures, and a working knowledge of accounting principles and practices. This employee must have experience using computer programs and office equipment, and possess intermediate computer and keyboard skills to ensure speed and accuracy while performing tasks.

Essential Duties and Responsibilities
  • Completes vendor maintenance to update remittance addresses, payment handling, and classification updates from vendor including reactivation and inactivation of vendors as needed.
  • Performs vendor setup to issue university payments including TIN verification, maintenance of W-9 files, and follow-up with Procurement and other university departments to resolve vendor issues.
  • Serves as primary backup for Accounts Payable email inbox to process invoices, answer vendor payment status inquiries, and re-direct any inquiries as needed.
  • Reviews check requests and travel vouchers ensuring proper supporting documentation and account coding in compliance with university and state requirements.
  • Provides interpretation of regulations, coding, and other departmental procedures requiring knowledge to communicate effectively with university departments and vendors in verbal and written form.
  • Performs coding of invoices where judgment, based on advanced knowledge, must be applied and/or serves as a resource for other staff.
  • Onsite support for printing checks, voiding Bursar checks, reviewing returned checks to obtain updated remittance information, and depositing checks as needed with Bursar's Office.
  • Serves as back-up for front office staff and accounting officers as needed during absences.
  • Serves as office support for monitoring and ordering office supplies, creating labels as needed for folders, envelopes, etc., marking stored files for record retention, and coordinating storage with Property Control.
  • Perform other job-related duties as assigned.

Minimum Required Qualifications (Civil Service)
  1. High school diploma or equivalent.
  2. Any one or combination totaling two (2) years (24 months) from the categories below:
    • ( A ) Course work in accounting, as measured by the following conversion table or its proportional equivalent:
      • 9 semester hours equals two (2) years (24 months)
    • ( B ) Course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen (18) months
      • 90 semester hours equals two (2) years (24 months)
    • ( C ) Work experience in bookkeeping, office support, or closely related experience.
