JOB SUMMARY
This position is responsible for managing the day-to-day administrative operations of an assigned clinic.
MAJOR DUTIES
Coordinates front desk operations to ensure efficiency, effectiveness, and the delivery of quality customer services.
Monitors clinic inventories and ensures the availability of materials and equipment; reorders as needed.
Coordinates patient scheduling.
Ensures patients receive care in accordance with Cherokee Nation Contract Health Services guidelines; provides instruction on guidelines to faculty and students.
Enters information to a variety of databases.
Directs and participates in the completion of billing records; ensures regular and timely distribution.
Reviews and approves employee leave requests; reviews and approves timecards; completes employee evaluations; disciplines employees.
Completes periodic quality reviews and statistical analysis.
Directs the maintenance of clinic equipment and facilities.
Performs related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION
Knowledge of office management principles.
Knowledge of customer service principles and practices.
Knowledge of supervisory principles and practices.
Skill in the operation of computers and job related software programs.
Skill in decision making and problem solving.
Skill in interpersonal relations and in dealing with the public.
Skill in oral and written communication.
SUPERVISORY CONTROLS
The Clinical Management Coordinator assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES
Guidelines include Health Insurance Portability and Accountability Act requirements, Cherokee Nation policies, federal and state regulations regarding health care operations, employee safety standards, and university and college policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
The work consists of related management duties. Strict regulations and policies contributions to the complexity of the position.
The purpose of this position is to manage day-to-day clinic operations. Success in this position contributes to the efficiency and effectiveness of those operations.
CONTACTS
Contacts are typically with co-workers, other university personnel, students, physicians, hospital staff, vendors, and members of the general public.
Contacts are typically to give or exchange information, to resolve problems, to provide services, or to motivate or influence persons.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light and heavy objects. The employee distinguishes between shades of color and utilizes the sense of smell.
The work is typically performed in an office and clinic.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
This position has direct supervision over assigned personnel.
MINIMUM QUALIFICATIONS
Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
