Description

Title: Administrative Authorization Specialist

Division: Mental Health

Programs: Children’s Behavioral Health Programs

Reports to: Care Management Supervisor

Employment Status: Full Time

FLSA Status: Non-Exempt

SUMMARY:

This position includes a wide range of administrative responsibilities including care management and paperwork processing within the Mental Health Division. This position requires strong interpersonal and communication skills, excellent organizational and time management skills, and the ability to work within a variety of programs and departments.

ESSENTIAL POSITION RESPONSIBILITIES: (and other duties as assigned)
Ability to work within an Electronic Health Record
Responsible for the Intake referral process, including tracking all referrals and scheduling assessments/evaluations for children’s behavioral health programs.
Responsible for obtaining and tracking authorizations for children’s behavioral health programs. 
Responsible for assuring the completion and tracking of authorization packets. 
Run insurance checks (EVS) bi-monthly or as needed for persons served within the unit.
Participate in weekly authorization meetings to review documents needed for authorization with team members.
Maintain accurate spreadsheets documenting progress and outstanding items needed for authorization and compliance.
Participate in Team Meetings, Inter-agency meetings, Supervision Sessions, and agency mandatory training. 
Maintain records according to State Regulations.
Scan and upload documents in the electronic medical record as needed with the unit.
Review and approve progress notes
Verify signatures on Encounter forms
Paperwork Processing for Payroll
Communicate with staff as needed
Track the submission of paperwork corrections
Adhere to strict payroll deadlines
 

WORK ENVIRONMENT: Within the confines of the offices of the Unit and Agency. Travel to other Agency sites as well as to outside meetings, conferences, or workshops is required on an as needed basis.

WORKING HOURS: 40 hours per week. Monday - Friday

Qualifications


MINIMUM QUALIFICATIONS:

  • High School Diploma
  • Demonstrated proficiency in Microsoft Word and Excel at the intermediate to advanced level
  • Accurate typing and communication skills, skilled in data entry and familiar with electronic medical records systems
  • Excellent time management and organizational skills
  • Advanced oral and written communication skills in order to effectively problem-solve
  • Must be a team player, patient, flexible, and have the ability to multi-task
  • Demonstrated ability to complete multiple tasks in a timely and accurate fashion in a fast-paced environment
  • Experience in an administrative/clerical capacity required
  • Experience in a mental health setting preferred
