Accountant/bookkeeper/compliance administrator

Job Description

We are looking for a candidate to assist with the organization and coordination of accounting, administrative and compliance duties.

Duties and responsibilities may include

  • performing various accounting/bookkeeping duties
  • preparing invoices and supplemental reports
  • monitoring and updating regulatory guideline materials and renewal dates
  • maintaining test report files
  • preparing deposits
  • supporting dispatch/operations/shipping
  • updating training schedules and files
  • preparing account reconciliations
  • processing bills
  • ordering office/business materials and supplies
  • providing general administrative support
  • other projects as needed

A successful candidate would have practical work experience and be proficient in a variety of office software (email tools, spreadsheets, Quickbooks and databases) and be able to appropraitely and accurately handle duties, independently and timely. The candidate should be able to assist with the smooth running of the office and help to improve company procedures and day-to-day operation, working efficiently, prioritizing work flow, and problem solving.

Tasks

  • Invoicing customers for products sold and services rendered
  • Monitoring renewal dates and preparing filings to ensure compliance
  • Preparing bills of lading and arranging shipping
  • Handling communications with customers, vendors and other team members
  • Ordering supplies and materials
  • Processing bills and payments
  • Preparing deposits and account reconciliations
  • Providing assistance and general support, work on special projects, as needed
  • Manage day-to-day, ensure accurate and timely reporting and completion of duties

Skills

  • Proven experience in an office setting perfoming similar functions
  • Knowledge of office responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office equipment (e.g. computers, fax machines and printers)
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements to work efficiently
  • Bachelor’s degree preferred with business degree, or associate degree, or proven work experience
