Job Description for
ITCD/SUD/DOC SUPPORT STAFF
A. DEFINITION
The ITCD/SUD/DOC Support Staff performs a variety of data entry and clerical functions as well as fielding telephone calls for ITCD/SUD/DOC staff.
B. DUTIES
1. Enter ITCD/SUD/DOC client data into the agency computer information system (CareLogic).
2. Perform quality assurance duties on ITCD/SUD/DOC clients in ECR, including referrals, transitions, discharges, and other changes.
3. Perform quality assurance duties on agency charts, tracking qualitative and quantitative information and chart reviews monthly, quarterly, annually, and prior to audit. Coordinate internal ITCD/SUD/DOC audits twice a year.
4. Maintain tracking system for due dates on ITCD/SUD/DOC annual assessments/ evaluations, treatment plans, financials, quarterly reviews, quality assurance, etc.
5. Prepare financials for signature. Reschedule appointments as requested.
6. Compose and/or type correspondence as requested, including letters for ITCD/SUD/DOC clients as needed for missed appointments, new appointments, rescheduled appointments, transitions and discharges.
7. Coordinate activities for the ITCD/SUD/DOC teams in conjunction with the Team Leaders.
8. Record and compose minutes of ITCD/SUD/DOC Coordination of Care meetings.
9. Answer incoming telephone calls, take messages, forward calls, alert staff through CareLogic, and deliver urgent messages to staff.
10. Work a consistent schedule of 8:00 am – 5:00 pm, Monday through Friday, with a 1-hour break for lunch.
11. Provide front desk and/or lunch coverage as needed.
12. Record employee notification of illness on the appropriate form and forward to the individual's supervisor.
13. Maintain/update agency forms as requested.
14. Maintain client confidentiality.
15. Perform related work as requested to carry out the purposes, goals and objectives of the agency.
C. QUALIFICATIONS
High school graduate/GED with specialization in office practices. Computer literate with experience in Word, Excel and PowerPoint. Have communication skills conducive to interacting with clients, staff and the general public. Display an aptitude in typing, telephone etiquette, data entry and other office functions. Must have reliable transportation.
