Job Opening: Operations Coordinator

 

Status: Full time, exempt

Salary Range: $60,000-65,000 with Benefits

Experience Requirements: 1-2 years of experience or education relevant to the position

Location: Main office in Raleigh, NC; position is hybrid (2 days in office and 3 WFH), MUST be local or intend on moving to the area to be considered; requires occasional travel across the Triangle and other parts of the state

About the position: 

NCAAT and NCAATIA is seeking a full-time Operations Coordinator to help oversee the office’s smooth functioning and provide support to the Operations Director. The ideal candidate for this position is a highly organized and detail-oriented individual who possesses strong communication and interpersonal skills to collaborate with the programs team, vendors, and building management to coordinate office logistics, ensuring the office runs efficiently. The Operations Coordinator is responsible for handling a wide range of administrative and development support-related tasks. They will be expected to be self-motivated and adaptable to changing priorities to support the organization’s overall mission and needs. The ideal candidate is a collaborative, resourceful, and flexible person who is not afraid to take initiative. They must possess strong administrative and coordination skills and be personally committed to the values and missions of the organizations. The Operations Coordinator will report directly to the Operations Director.

 

Responsibilities:

Own office coordination efforts

  • Own the ordering, maintenance, and tracking of NCAAT supplies, materials, and equipment. 
  • Routinely check office mailboxes and efficiently distribute incoming mail to respective recipients within the organizations.
  •  Act as the point of contact and representative of the organizations to coordinate with building management to effectively resolve any issues or concerns related to the physical office space.
  •  Act as the primary point of contact and coordinator for scheduling and managing external suppliers’ deliveries and other vendors, ensuring timely and efficient drop-offs to the office.

Provide operational support organization-wide 

  •  Own the general contact emails of both entities by monitoring and promptly responding, while also establishing and maintaining an organized system for categorizing and forwarding emails to the relevant staff members within the organization.
  • Maintain accurate and comprehensive office calendars, encompassing both internal and external schedules, to track important dates and meetings, while also ensuring timely reminders are provided to staff regarding upcoming events, tasks, and commitments.
  •  Assume responsibility for writing and sending personalized thank-you cards to donors, expressing appreciation for their support and interest in the organization, and fostering stronger donor relationships.

Provide recruiting support

  • Assist the Deputy Director by coordinating and scheduling interviews, which may include:
    •  Creating Zoom meetings, and making interview preparation folders 
    •  Gathering required documents to send out to the relevant staff members involved in the recruitment process, ensuring seamless communication and organization throughout the hiring process.
    • Working with our HR Consultants to share out job postings to appropriate audiences and platforms

  • Immaculate organizational skills and demonstrated attention to detail
  • Be able to maintain high levels of confidentiality regarding various operational support tasks, including handling classified information regarding internal and external factors
  • Adaptability to new circumstances, rapid changes, and shifting priorities
  • A deep commitment to racial justice in North Carolina
  • Familiarity with using technology and/or quick at learning new technologies and software such as Google Suite, EveryAction, Slack, Asana, etc.
  • Availability for after-hours/weekend rapid response
  • High emotional intelligence and interpersonal skills to develop strong relationships with staff, community members, and funders
  • Nice to have - Basic skills in any Asian language
