North Bridge Equine Associates is Hiring an Office Coordinator Near Concord, MA

Seeking a meticulous office coordinator to organize equine veterinary practice circus!

  • Can you play Tetris with our appointment schedule for multiple people so everyone knows where they are going, why they are going, and what time they are going to arrive?
  • Can you handle managing extensive inventories of medicines and supplies so everything is accounted for and we don’t run out of essential items?
  • Are you comfortable being the first point of contact with clients and have a knack for making people feel welcomed and valued?
  • Are you both professional and empathetic when it comes to communicating with clients on the phone, even in an emergency situation?

So, that’s suitably ambiguous and might not give you the full idea of what it’s going to be like to work here but that’s how we roll: Welcome to North Bridge Equine Associates! What you’re going to find is that we’re an incredibly ambitious, forward moving equine veterinary practice. We need somebody to help get things in order behind the scenes so we can go out there and be amazing equine vets and do the work we all love to do. As such, you will be the lynch pin of our practice: you’ll enable us to go and do the magic we do and behind the scenes will be you. We will adore you because of your skills and organization allow us to move seamlessly from patient to patient each day and allow us to focus on the horses. Oh, and we provide an office mate to keep you company so you don't get lonely while we are out on the road: our office cat named Donkey!

Candidate Requirements:

Was it a frequent occurrence in a previous position that customers would start the call unhappy or unsatisfied but after speaking to you for 5 minutes they forgot why they called and hung up the phone with a smile on their face? We want you! You're a person who comes into work every day ready to tackle the challenges and changes to the plan you made yesterday. You can move the pieces of our chessboard easily to ensure each vet is able to attend to the often unpredictable needs of our patients and clients. You love the challenge of ensuring that each veterinarian has all the supplies they need, but not too much…managing “just in time” inventory is your jam! You love the details and organizing the details. You get immense satisfaction from checking things off the to-do list and knowing you helped your teammates along the way. Where others see chaos, you excitedly jump in and start making lists and charts and systems for it all to run efficiently. You embrace change and are comfortable proposing new processes and systems to ensure our horses get the best care and our team can work effectively and efficiently.

Your exceptional skills will include:

  • Well-developed and professional communication and interpersonal skills.
  • An understanding of horses, their people, and the equine industry.
  • Detail focused.
  • Strong organizational skills.
  • General proficiency in computer systems.
  • Previous hands-on experience with horses.
  • Customer service experience, ideally in a veterinary or medical setting.
  • A positive attitude, willingness to learn and a commitment to upholding our core values of teamwork, integrity, growth, relationships, and fun.
  • Able to work in person in Concord, Massachusetts and willing to share an office with a cat named Donkey.

  • Hourly W-2 employee with pay range of $18-22/hr depending on experience.

At North Bridge Equine we exist for the horse: We specialize in protecting the health and maximizing the athletic potential of our patients and share in the happiness these amazing creatures bring us every day. We are a cohesive and supportive 8 person veterinary care team and we love what we do every day. We have three amazing veterinarians who crisscross eastern Massachusetts and southern New Hampshire every day caring for our patients. Each veterinarian has a dedicated and incredibly skilled technician that keep them moving forward and assists them in providing the most exemplary care to our horses. This is where you come in: Keep these three driven, focused, and sometimes stubborn veterinarians efficiently working each day by managing their appointment schedules, managing our inventory of medications and supplies, and being the warm, welcoming voice on the phone to our clients…..this is our circus and we need you as our ringmaster!

As our Office Coordinator, you will play a pivotal role in ensuring the seamless operation of our practice by delivering unparalleled service and support to our valued clients. Your responsibilities will encompass a range of duties, including managing incoming communications, scheduling appointments, and providing personalized assistance to meet the unique needs of each client.

Candidate Duties:

  • Professionally manage incoming calls and inquiries, demonstrating empathy and efficiency in every interaction.
  • Coordinate appointment scheduling and logistical arrangements with precision and attention to detail.
  • Cultivate positive client relationships through attentive communication and proactive problem-solving.
  • Collaborate closely with colleagues to optimize workflow efficiency and enhance overall client satisfaction.
  • Moving Donkey to the side so you can see your computer screen every 5 minutes.

Qualifications and Skills:

  • Previous experience in a customer service or client-facing role, preferably within a veterinary or healthcare setting.
  • Strong communication skills, both verbal and written, with a professional demeanor and exceptional interpersonal abilities.
  • Demonstrated organizational skills and the ability to multitask effectively in a fast-paced environment.
  • Proficiency in computer applications and office software, with the capacity to learn new systems quickly.
