Administrative Assistant

Pay: $19.50-$21.50

Location: will be in the office during training/probationary period, ability to transistion to remote based on work ethic

As we embark on this journey, we are seeking a dynamic Administrative Assistant to support our Operations Manager and CEO in ensuring the smooth functioning of our operations.

Position Overview:
The Administrative Assistant will play a crucial role in providing administrative and clerical support to the Operations Manager and CEO. This individual will be responsible for managing day-to-day administrative tasks, coordinating schedules, and assisting with various operational activities to facilitate the efficient functioning of the credit union.

Key Responsibilities:

  • Calendar Management: Coordinate and manage the calendars of the Operations Manager and CEO, including scheduling appointments, meetings, and conference calls.
  • Communication: Serve as the primary point of contact for internal and external inquiries, emails, and phone calls directed to the Operations Manager and CEO. Handle correspondence and prioritize messages effectively.
  • Document Management: Organize and maintain electronic and physical filing systems, ensuring easy retrieval of documents as needed. Assist in drafting, editing, and proofreading documents, presentations, and reports.
  • Meeting Coordination: Prepare meeting agendas, materials, and presentations. . Take meeting minutes and follow up on action items as necessary.
  • Project Support: Provide administrative support for special projects, initiatives, and events as assigned by the Operations Manager and CEO. Collaborate with team members to ensure project deadlines and objectives are met.
  • Office Operations: Assist in maintaining office supplies, equipment, and facilities. Help foster a positive and productive work environment for staff members.

Qualifications:

  • Proven experience as an administrative assistant or relevant administrative role, preferably in a financial institution or corporate environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong communication skills, both written and verbal, with a high level of professionalism and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Demonstrated ability to work independently with minimal supervision and as part of a collaborative team.
  • Flexibility and adaptability to changing priorities and work demands.
  • Bachelor's degree in business administration, finance, or a related field is preferred but not required.
  • Must pass a bondability check, background check and soft credit pull
