Medical Secretary

The Medical Secretary works under the direct supervision of the Director of Health Services. The Medical Secretary assists in organizing and communicating inter and intra-departmentally to achieve optimum support. These duties are supportive to the direct nursing care of the individuals.

The Medical Secretary is responsible for performing a variety of clerical duties relating to the updating and organizing of information in the nursing department and interacting with individuals, families, and staff to ensure smooth and efficient heath care operations.

This position requires the proficient in the use of Microsoft Excel and Microsoft Word. The ideal candidate for this role must embody several key qualities:

Communication: Effective communication skills are essential for conveying information clearly and fostering productive relationships with both staff and individuals under our care.

Time Management: Good time management skills enable the candidate to prioritize tasks effectively and meet deadlines consistently.

Proactivity: a proactive approach allows the candidate to anticipate needs, identify opportunities for improvement, and take initiative to address them.

Self-Starting: Being a self-starter means taking ownership of tasks and projects, demonstrating motivation, and driving initiatives forward independently when necessary.

RESPONSIBILITIES:

  • Adheres to Department specific state and organizational regulations.
  • Convert departmental policies and procedures to agency template format.
  • Monitor health services staff members trainings and assist with scheduling.
  • Records minutes for departmental meetings.
  • Assists in gathering and maintaining any documentation for audits.
  • Sets up interviews for vacant positions as needed.
  • Reports pertinent information or unusual circumstances to the supervisor in a timely manner.
  • Coordinates work within the department and effectively interacts with co-workers and other staff members to ensure quality patient care.
  • Contacts physicians, labs, x-rays, and other departments as necessary to obtain reports and documentation.
  • Works with Health Services staff and residential staff to maintain accurate records for tracking. For example, updates list of diabetics, EpiPen users, hospital bed usage.
  • Effectively uses automated systems to perform work assignments.

QUALIFICATIONS/REQUIREMENTS:

Previous clerical experience in a healthcare setting required; knowledge of medical terminology preferred.

EDUCATION: High school diploma or equivalent required.

Salary range for this position is $18.00 - $22.00 per hour.
