This position is responsible to act as a liaison between patients, referring offices, and the clinical areas by facilitating and scheduling accurate and timely appointments. To include general clerical support and performing designated triage functions or duties as assigned by the manager.
Major Duties and Responsibilities
· Independently manages telephone calls from referring offices, and new or existing patients by obtaining a detailed history of the problem and determining most appropriate appointment.
· Updates all patient demographic areas to include insurance information, and asks what studies, imaging, tests have been previously done if applicable to communicate to clinic staff.
· Maintains open communication with the clinical areas and reception area by updating the staff of appointment changes and all pertinent information. All Add on appointments once clinic has begun must be communicated to ancillary staff and sometimes require doctor approval.
· Processes appointments via fax referral system or electronic submissions by reading medical records and determining most appropriate appointment.
· Offers appointments within the 48 hours advertised timeframe to patients willing to be seen in any clinic with any provider.
· Forwards questions regarding NHOC payment policies to appropriate patient accounts staff member & communicates the self-pay policy when applicable.
· Assists with VISCO injection appointment scheduling when applicable
· Runs a report on patients who are in a status of no show or no checkout to call them direct and get them a new appointment.
· Maintains the NHOC bump line. These are overflow calls or patients who opted to not wait on the hunt group line that instead leave VM’s that need to be returned in a timely manner.
· Assists in triaging the answering service messages in the morning to the appropriate staff
· Assists in scheduling patient appointments via live chat and e-mail requests through the company website.
· Assists the physician coordinators with general support needs including rescheduling of clinics, and wait list patients.
· Assists when needed in acting as the switchboard operator.
· Assists in urgent care after-hours emails to supply them with appointment options per locations.
· Other office duties when needed or as requested by management.
Physical Requirements of Position / Special Conditions of Job
This position requires sitting for an extended period of time with constant phone interaction.
Qualifications
Individuals should possess strong organizational, and both verbal and written communications skills. Working knowledge of medical terminology and orthopaedic procedures is preferred. They must have the ability to interact with internal and external customers in a professional, caring manner. They must be able to multi task well. They must be able to think logically in following procedures and instructions. Proficiency in computerized appointment scheduling programs is essential. They must possess strong technical abilities. Previous experience in medical office environment is preferred.
