Monday – Friday up to 40 hours/ week (8am – 5pm), occasional weekends and/or evenings

Position Summary

The Front Desk/ Administrative Assistant position is mid entry-level. This Front Desk/ Administrative Assistant, under the direct supervision of the Manager of Administration/Human Resources/ and/or Senior Administrative Assistant, will provide administrative support for the organization. The Front Desk/ Administrative Assistant will also provide back office support to the Organization’s Administration and Human Resources Department. TheFront Desk/ Administrative Assistant has a key role in NEW’s responsibilities as a Fiscal Agent, is the direct contact, and is responsible for processing requests issued by project/initiative. The Front Desk/ Administrative Assistant will work independently and within a team on special nonrecurring and ongoing projects. As an ambassador for the organization, this person is also responsible for actively supporting the overall mission and vision of NEW.

Duties and Responsibilities
  • Greet customers and visitors in a friendly and resourceful manner – follow guest standards (check-in, etc.)
  • Answer incoming calls and direct as necessary, as well as take/retrieve phone messages and distribute to staff
  • Distribute incoming mail and monitor and process outgoing mail
  • Retrieve and distribute incoming faxes, and fax documents as needed
  • Coordinate delivery and pick up of Federal Express and other messenger services
  • Ensure all forms are properly maintained, stocked, and updated as needed
  • Coordinate conference room reservations ensure they are always up to standard
  • Prepare documents as needed
  • Maintain front office appearance neat and orderly
  • Support with Distribute payroll checks
  • Inventory and create office order of supplies for corporate office
  • Support with the process of office supply orders for all departments/programs\
  • Coordinate deliveries and pick-ups as requested
  • Process requests submitted by project,initiative this includes processing orders and requesting checks
  • Monitor activity under the project/initiative, create monthly reports, and participate in quarterly meetings.
  • Conduct data entry
  • Perform other duties as necessary
Qualifications and Experience
  • Must have excellent Oral and Written Communication Skills
  • Must have excellent Documentation Skills
  • Must have a Professional Demeanor
  • Must have strong computer skills
  • Must have excellent Time Management Skills
  • Possess a thorough understanding of office administrative procedures and operational use of standard office equipment
  • Possess high level of interpersonal skills to handle sensitive and confidential situations
  • Possess excellent attention to detail
  • Ability to consistently take initiative and make sound decisions
Education
  • Minimum 2-year experience in an office environment, and knowledge of basic Accounting
  • High School Diploma or Equivalency
Additional Requirements
  • Must have access to reliable transportation provide proof of current California driver’s license, acceptable driving record (current DMV H6 printout), and current liability auto insurance
  • Fingerprinting and TB Clearance
  • CPR/First Aid Certification is a plus
  • Flexible with working hours, including evenings and weekends
  • Fluent in Spanish
