POSITION: Volunteer Initiatives Program Coordinator REPORTS TO: VGF Program Officer

TYPE OF POSITION & FLSA STATUS: Full-time/Hourly SAFETY SENSITIVE: No

SALARY RANGE: $20 - $22 per hour, depending on experience

Position Summary: The Volunteer Initiatives Program Coordinator supports the Volunteer Generation Fund Program Officer through administrative and outreach support, record keeping and reporting, relationship building and special projects.

This position will allocate .5 FTE to Volunteer Generation Fund duties, working with the VGF Program Officer to build capacity and volunteer infrastructure throughout Nevada and .5 FTE working with the VGF Program Officer to recognize outstanding volunteerism and service throughout the State through Nevada Volunteer’s Stars of Nevada – Governor’s Points of Light event.

ESSENTIAL FUNCTIONS: (Performance of these functions is the reason the job exists. Assigned job tasks/duties are not limited to the essential functions).

Functions are designated by percentage of time allocated to each grant source.

Volunteer Generation Fund Grant 50%

  • Community Outreach and Engagement - Assist in outreach to Nevada-based nonprofit organizations, educational institutions, tribal communities, and state agencies to spread awareness about VGF funding opportunities and programs such as Youth Council and Lunch & Learns. Cultivate relationships through community engagement to build trust, increase collaborations and partnerships, and spread awareness of and with Nevada Volunteers and VGF programs.
  • Grant Data Collection and Coordination - Work with VGF applicants and subgrantees to ensure paperwork is received on time and completed properly. Assist in preparation of applications and other materials for VGF peer review.
  • Training Planning and Coordination - Assist in finding subject matter experts as speakers, preparation of power point presentations, and technical support of trainings for VGF programs such as Lunch & Learns and Youth Council. Research venue options for VGF programs such as trainings, volunteer fairs, Youth Council Convening. Place orders for VGF programs such as swag items and training materials.
  • External Communications – Assist with external engagement including social media, newsletter, website updates, and posts to Basecamp.

Commission Support Grant 50%

  • Community Outreach and Engagement - Assist with the outreach to Nevada communities, nonprofit organizations, educational institutions, corporations, etc. to solicit nominations and cultivate relationships to build trust, increase collaborations and sponsor donations, while spreading awareness of Nevada Volunteers and the Stars of Nevada – Governor’s Points of Light event. Build and maintain positive relationships with vendors, donors, and participants.
  • Special Event Coordination – Assist in the coordination, planning, implementation, and evaluation of the annual recognition event including all event duties such as logistics, set up, and tear down; and pre-event such as finalist calls, reference calls, video appointments, judge review, etc. Assist in the procurement of donations both monetary and in-kind for sponsorships, door prize raffles, and finalist goodie bags. Attend planning meetings and take notes for distribution.
  • External Communications – Assist with external engagement including social media, media releases, website updates, and other event platforms such as Eventbrite.
  • Governor’s Certificates – Coordinate Governor’s Certificate recognition activities ie, running reports, mail merge, working with Commissioners to attend recognition ceremonies, etc.

QUALIFICATIONS FOR EMPLOYMENT: Knowledge, Skills, and Abilities: (The attributes required to perform a job; generally demonstrated through qualifying experience, education, or training.)

Knowledge of:

  • AmeriCorps and Volunteer Generation Fund or willingness to learn;
  • Techniques and practices of organizing and coordinating programs, activities, and special events;
  • Marketing techniques and process for publicizing material through television, social media, print, radio, or other outlets;
  • Techniques of writing a wide variety of communications;
  • English usage, spelling, grammar, and punctuation.

Skills to:

  • Utilize with accuracy and proficiency diverse technology platforms: Microsoft 365, Excel, Canva, time-tracking software and platforms, eGrants, etc.
  • Communicate effectively in verbal and written formats; and
  • Operate personal computer and software applications for graphic presentations, information retrieval research and other job-related software.

Ability to:

  • Communicate effectively both verbally and in writing with excellent interpersonal skills and the ability to work collaboratively.
  • Equip subgrantees and internal team members with knowledge and information.
  • Contribute to organizational values of integrity, teamwork, trust, personal responsibility, and initiative.

  • Complete work with accuracy and strict adherence to deadlines and policies and procedures.

  • Travel overnight up to 25% FTE across Nevada is required.

Experience and Training: Any combination of training, education, and experience that would provide the required knowledge, skills, and abilities. A typical way to gain the required knowledge, skills, and abilities is:

  • High School Diploma/GED is required.
  • Bachelor’s degree from an accredited college or university with major coursework in project management, community outreach/development, or nonprofits preferred.
  • Computer proficiency, experience with Microsoft suite programs is strongly required.

Required Certification and Licenses:

  • Possession of a valid driver’s license; the required license must be maintained and current throughout duration of employment. Ability to secure alternate means of travel may be substituted.

Physical and Mental Requirements: The physical and mental requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.

Strength, dexterity, and coordination to use keyboard and video display terminal for prolonged periods. Some reaching, bending, squatting, and stooping to access files and records is necessary. Strength and stamina to bend, stoop, sit, and stand for long periods of time. Dexterity and coordination to handle files and single pieces of paper. Occasional lifting of files, stacks of paper or reports, references, and other materials. Some reaching for items above and below desk level. The manual dexterity and cognitive ability to operate a personal computer using word processing and databases. The ability to interact professionally, communicate effectively, and exchange information accurately with all internal and external customers. Ability to appropriately handle stress and interact with others, including supervisors, coworkers, employees, and the public. Maintain regular and consistent punctuality and attendance. Light lifting (up to 25 pounds) is occasionally required.

Working Conditions: Work is performed under the following conditions:

This position functions indoors in an office-type environment where most work is performed at a desk or similar workspace. Volunteer Initiatives Program Coordinator will be required to travel by car to appointments, site visits, to pick up or deliver material, and to travel by airplane for multi-day/overnight conferences, activities and meetings. Site-based work environment is generally clean with limited exposure to conditions such as dust, fumes, noise, or odors. Frequent interruptions to planned work activities occur.

Note: This position is expected to work an eight-hour shift from either the Nevada Volunteers headquarters in Sparks, Nevada or remotely, which means work from home or other location. Changes to essential functions and working conditions must be brought first to the attention of the Volunteer Generation Fund Program Officer or senior member of the Nevada Volunteers leadership team. The Volunteer Initiatives Program Coordinator is expected to attend in-person, site-based activities, meetings, events, and other functions as assigned. A minimum of 25% travel by vehicle and airline is required.

Who we are: Nevada Volunteers is the Governor’s Commission on Service. We are a nonprofit organization dedicated to strengthening Nevada through National Service and volunteerism. As the State’s central coordinating body for service and volunteerism, Nevada Volunteers is responsible for developing, implementing and sustaining a vision and culture of civic engagement and National Service throughout the State. We do this through the administration of AmeriCorps State and National grants, training, and elevating volunteerism, volunteer management infrastructure, and National Service in Nevada.
