WHAT YOU WILL DO
We're looking for a detailed, organized administrative professional to manage and oversee office and administrative activities for the company. This position will be on-site Monday - Friday at our HQ in Lansing, MI. Reporting to the HR Director, this role will help with administrative duties across various teams in the company.
•Maintains physical office space, ensuring a safe, clean, and functional environment including kitchen maintenance and upkeep. First point of contact with the building management company.
•Provides administrative support such as schedule, track, and provide support materials for meetings and project events.
•Culture Champion - Assist HR and various teams with employee engagement events on-site and remotely.
•Coordination and planning of events for leadership and employees, including set-up, catering and clean-up. May assist in travel accommodations.
•Acts as liaison for vendors and outside contractors related to the building, including housekeeping, coffee service, etc.
•Ensures safety and security standards are followed throughout the facility.
•Maintains inventory of office supplies; assists in the ordering, receiving, stocking and distribution of office supplies.
•Receives, sorts and forwards incoming mail, coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
•Miscellaneous data entry, report generation and light project management for various departments.
•Liaison to finance and accounts payable team to ensure expenses and reimbursements are being allocated properly. Review and submit expense reports for executive leadership team.
•Other duties as assigned
Physical Requirements
  • Occasional lifting of up to 50 pounds
WHAT YOU WILL BRING
•High school diploma or equivalent required; Associate's degree in office administration or related field preferred.
•Three plus years of administrative and clerical experience
•Positive, service-oriented demeanor
•Independent and proactive decision making skills.
•Extensive knowledge of office management procedures.
•Excellent verbal and written communication skills.
•Excellent interpersonal and customer service skills.
•Excellent organizational skills and attention to detail.
•Excellent time management skills with a proven ability to meet deadlines.
•Proficient with Microsoft Office Suite or related software.
•Possess the ability to remain agile and multi-task effectively in a fast-paced environment
•Occasional driving required for supplies, food and other items
