NeighborWorks of Western Vermont is Hiring an Office Coordinator Near Rutland, VT

NeighborWorks of Western Vermont is looking to hire a full-time Office Coordinator to play a pivotal role in helping to support excellent customer service and office management. The Office Coordinator is a front-line staff member responsible for ensuring a smooth customer experience from greeting customers and handling all inquiries to completing initial program paperwork, determining customer needs, offering appropriate programs to help, and managing accurate customer information. They will work closely with other Office Coordinators and will interact with all departments. The ideal candidate will be someone who is friendly, organized, and committed to NeighborWorks of Western Vermont nonprofit mission of successful and sustainable homeownership.

Responsibilities:

  • Assist with a high volume of incoming calls and emails ensuring customer service quality, efficiency, and accuracy while maintaining an in-depth knowledge of all services offered by NeighborWorks of Western Vermont.
  • Customer intake, responsible for ensuring all communications and information is accurate and logged properly in software, documents received and processed, and customer referred to appropriate departments as well as scheduling appointments.
  • Quality review of customer files for accuracy.
  • Process program payments as well as generating invoicing as required.
  • Oversight and strong understanding of customer management software.
  • Provides office assistance for staff and supply ordering.
  • Assist with social media, outreach, and marketing, while also creating media posts and event planning and tabling.
  • Collect and process incoming daily mail.
  • Assist with special projects as needed.

Qualifications:

  • Minimum of 2 years of experience in a customer service role and/or office administration.
  • Minimum of a High School diploma or GED.
  • Strong computer skills including Microsoft Office Suite, data entry and the ability to run and analyze reports, knowledge of Salesforce preferred not required.
  • Ability to multi-task, be adaptable, and prioritize assignments in a team environment while being organized and professional.
  • Reliable transportation necessary, valid ID required.
