Location - between two locations (shared) -

11851 N 53rd 51st Ave, Glendale, AZ 85304 and

20440 N 27th Ave., Phoenix, AZ 85027 - 50/50% (amount both locations)

Job Summary:

The Front Office Supervisor will supervise, schedule, and coordinate the work of front office employees within a Federally Qualified Healthcare Center at NOAH.

Supervisory Responsibilities:

  • Supervises and schedules the front office staff for multiple provider service lines.
  • Assists in recruiting and hiring.
  • Conducts timely performance evaluations and provides regular performance feedback.
  • Coordinates training programs for new staff and identifies training and coaching needs for current staff.
  • Ensures staff adhere to and follow all policies, procedures, and regulations.
  • Recommends employees for transfer, promotion, raises, discipline, and/or termination.
  • Trains employees on policies and procedures for provider practice management.

Duties/Responsibilities:

  • Implements protocols and processes to meet organizational goals, including, but not limited to, productivity, quality, and patient satisfaction.
  • Ensures standardized implementation and practice of policies and procedures and informs staff of updates.
  • Ensures day to day operations of front office responsibilities are completed accurately and appropriately.
  • Ensures operations meet regulatory guidelines, equipment is in working order and appropriate inventory of supplies is maintained.
  • Provides supervisory coverage for Back Office in the absence of their supervisor.
  • Creates and maintains the work schedule for front office and provides coverage as needed.
  • Responsible for continuity of practices ensuring standardization of collections, end of day process, developing and updating place of services reporting and reconciliation.
  • Interfaces with patients on various issues to resolve concerns.
  • Maintains accurate and efficient scheduling of provider appointments.
  • Maintains and updates provider templates into patient electronic medical record (EMR) system to reflect accurate day to day information.
  • Serves as liaison with the Patient Engagement Center.
  • Orders office supplies and maintains required inventories according to department standards.
  • Attends, participates, and/or assists in meetings, trainings, community outreach activities, continuing education opportunities, and other activities as required.
  • Performs other related duties as assigned.

NOAH requires all new hires to have received the first dose of a COVID-19 vaccine before their start date and be scheduled for their second dose. New hires who choose to receive the Johnson & Johnson vaccine only need one dose to fulfill this requirement. Reasonable accommodations will be considered.

Qualifications

Required Skills/Knowledge/Abilities:

  • Excellent communication skills.

  • Ability to listen and identify/resolve issues.
  • Thorough understanding of customer and management services and standards.
  • Thorough understanding of medical front-office procedures, standards, and best practices.
  • Basic understanding of business and management principles.

Education and Experience:

Required:

  • High School Diploma or GED required.
  • 2 years of clinical office experience required.

Preferred:

  • Associate's degree or vocational schooling preferred.
  • 2 years of supervisory experience preferred.

Other Requirements:

  • New Hires are required to pass pre-employment background check and drug testing (effective 11/1/2022).
  • Current Level 1 Fingerprint Clearance Card or must pass fingerprint clearance within 7 days following hire.
  • Must demonstrate proficiency in Electronic Health Record post hire by attending required training and passing proficiency test.

Job Type: Full-time

Pay: $21.63 - $28.36 per hour
