Position Summary:

As the first point of contact for our patients and visitors, the Patient Service Representative at Near North Health plays a crucial role in creating a welcoming and inclusive environment to the diverse communities we serve.

Essential Duties and Responsibilities:

  1. Customer Service Excellence: Deliver outstanding customer service to patients, visitors, and staff. Provide assistance with a warm, welcoming attitude, ensuring a positive experience at our health center.
  2. Patient Registration and Check-In: Efficiently handle patient registration and check-in processes, verifying information and ensuring accuracy.
  3. Appointment Scheduling: Manage appointment scheduling, both in person and over the phone, accommodating patient needs and preferences.
  4. Information Dissemination: Provide patients with information about services, wait times, and other inquiries in a clear and respectful manner.
  5. Phone Communication: Handle incoming calls, addressing inquiries, and routing messages to the appropriate departments.
  6. Problem Solving: Address and resolve patient inquiries and concerns promptly. Escalate complex issues to the Manager of Patient Experience when necessary.
  7. Cultural Competence: Display sensitivity to the cultural and linguistic needs of our diverse patient population. Strive to provide inclusive and respectful service to all.
  8. Technology Proficiency: Utilize electronic health records (EHR) systems and other office software efficiently. Adapt to new technologies as required.
  9. Patient Confidentiality: Strictly maintain patient confidentiality in accordance with HIPAA and state privacy guidelines.
  10. Administrative Support: Perform administrative tasks such as filing, copying, and data entry as required.
  11. Team Collaboration: Work collaboratively with other staff members to enhance the patient experience. Participate in team meetings and contribute to continuous improvement initiatives.

Education and Qualifications:

Education Requirements: High school diploma or equivalent.

Qualifications:

  • Proven experience in a customer service role, preferably in healthcare, hospitality, or a related field.
  • Excellent verbal and written communication skills.
  • Basic understanding of medical terminology and healthcare practices is desirable.
  • Proficiency in office software and electronic health records systems.

  • Compassionate, patient, and empathetic demeanor.
  • Strong organizational and multitasking abilities.
  • Professional and confidential in handling patient information.
  • Adaptable, resilient, and capable of working in a fast-paced environment.

Additional Requirements:

  • Flexibility to work non-traditional hours including Saturdays and evenings as needed.
  • Availability to work across different site locations within the health system may be required.
