3 Year Appointment - Current through September 2027

Monday - Friday 8:00 a.m. - 4:30 p.m.

TITLE: Distribution Supervisor (Battaile Drive Warehouse)

DEPARTMENT: Operations

REPORTS TO: Director of Operations

SUPERVISES: Production/Distribution Team (2-4)

FLSA: Non-Exempt, Hourly

GENERAL RESPONSIBILITY:

Schedules distribution and production resources to support the strategic objectives of the company. Accesses the physical, procedural, and effectiveness of SpecialMade’s operating systems to identify and justify areas for improvement based on but not limited to cost management, safety and employee satisfaction. Actively works on the production floor to meet strategic goals; including but not limited to fork truck equipment, picking, packing, shipping, receiving, LTL shipping and cycle counting. Works closely with Purchasing-Inventory Specialist to achieve inventory accuracy and cycle counting goals.

ESSENTIAL DUTIES / RESPONSIBILITIES:

Duty 1 – Leadership

· Ensures all employees follow SpecialMade Employee Handbook.

· Addresses disciplinary and/or performance problems with team members according to company policies. Prepares and documents issues and warnings and makes effective and appropriate decisions relative to corrective actions needed.

· Conflicts are addressed professionally; Supervisor is a role model for healthy conflict resolution.

· Creates and maintains a high quality, positive work environment, based on teamwork and mutual support and respect where Team members are motivated and encouraged to perform at their highest level.

· Lead projects/programs relative to timing, cost, and company culture as assigned.

· Establishes himself/herself as the Leader of the Team.

· Makes suggestions for future direction and needs of Team to Director of Operations.

· Ensures standards and guidelines are supported, developed, and maintained.

· Provides adequate communication on initiatives to Director of Operations.

· Makes available time to help others in any area. Performs tasks as a working Supervisor including but not limited to pick, pack, ship and receiving.

· Participates and provides feedback to Director of Operations on performance reviews.

· Provides statistical and performance feedback and coaching on a regular basis to each team member.

· Promotes and creates an atmosphere for continuous improvement and leads the implementation of the appropriate improvements.

· Responsible for training of all tasks including operator and backup to Supervisor.

· Actively participates in the interview process of operators.

o Safety: Expectations of 0 accidents or injuries

o Inventory Accuracy: => 99.99%

o Fulfillment Accuracy > 99%

o Shipping: Same day/next day

o Quality < 2 hrs/month in Rework

o Quality < 2 Customer Complaints / Year (internal/external)

o Labor Efficiency > 100%

Duty 2 – Scheduling & Resource Planning.

· Prints pack lists as required and available.

o Sorts pack lists and separates out Special Label Customers & Re-Pack orders from Standard orders.

o Assures that all Special Labels/barcodes are printed and applied.

o Ship same day/next day or follow special shipping instructions.

o Process 100 backorders within 2-3 business days. If a month-end week, process all orders by end of month unless they import in the last day of the month.

· Assignment of duties to direct reports including picking, packing, LTL Shipping, receiving, cycle counting and cleanup.

· Ensures production equipment is Set Up prior to production needs.

· Ensures manufacturing machinery is maintained and operates safely.

· Reviews status of Operations to ensure goals are met and adjusts schedule as necessary with clear communication to Team.

· Provides analysis of operations performance and provides Root Cause analysis when applicable.

· Creates and utilizes the appropriate tools necessary to ensure all resources (personnel, equipment, or material) are available to achieve production goals.

· Ensures adequate pallets are available for receiving and shipping. Orders via email to Purchasing-Inventory Specialist as needed (purchasing@specialmade.com).

· Tracks and ensure that supplies are on-hand (Pack list Forms, Barcode Labels, Barcode Ribbons, Shipping Tape, etc.). Orders via email to Purchasing-Inventory Specialist as needed (purchasing@specialmade.com ).

· Ensures that labor tickets are completed.

· Ensures that a backup is fully trained.

DUTY 3: Safety and Housekeeping

Commitment to and continual focus on working safely and maintaining a clean and organized work area. Encourages and holds employees accountable to follow all health and safety policies and procedures including:

  • Establishes guidelines for Housekeeping to ensure a clean, safe workplace.
  • Actively participates as a member of the Safety Committee.
  • Supports and follows all established Safety processes including filling out necessary reports. Serves as First Responder.
  • Keeping facility maintained in a clean and orderly manner
  • Proper use of personal protective equipment (PPE)
  • Attendance and up to date safety training
  • Use of safe work practices to eliminate slips, trips and falls
  • Lifting safely and helping others to do the same
  • Labeling all chemical containers and becoming familiar with material safety data sheets
  • Knowing evacuation procedures and the location of emergency equipment
  • Expectations of 0 accidents or injuries
  • Performs daily safety checks as required
  • Assures all machinery and equipment are in safe operating condition

§ Communicates to Operators the Quality expectations for each job. Works with Operators and trains new or revised methods to improve the quality of all jobs.

§ Communicates all Operator situations to Director of Operations and makes recommendations when the standard of Quality cannot be met by an Operator.

Duty 5 – Inventory & Receiving

· Ensures inventory objectives are achieved and standards supported, as outlined by the Purchasing-Inventory Specialist.

o Including the scheduling of personnel to support cycle counting and auditing.

o Prints cycle count tags, counts and enters counts. Works with Purchasing-Inventory Specialists on recounts.

o Maintains =>99.99% accuracy in picking of customer orders and overall accuracy.

o Counts all locations and top $ SKUs 4 times annually before mid-December.

· Assigns operator to research inventory discrepancies to find lost or missing inventory as needed. Reports all inventory discrepancies to Purchasing-Inventory Specialist after research has been completed. Returns necessary paperwork to Purchasing-Inventory Specialist.

· Ensures that POs are received and inventory entered into Visual software. Attaches all container paperwork to PO and files by PO# for document retention. Sends receipts to Newell inventory team.

· Report containers unloaded and ready for pickup. Schedules inbound containers.

Duty 6 – LTL & Shipping Preparation

· Coordinates LTL, truckload and International shipping activities following order details & Order Specifications.

o On-Time: > 95%

o Carrier notice given to meet on-time shipments 100%

· Timely troubleshooting of all shipment issues:

o Reports to carriers & escalates within 2 hours of notification.

o Resolution within 3 days of notification

· Troubleshoots freight bill discrepancies to resolution.

· Determines and follows shipping processes on own & keeps procedures updated.

· Runs Shipping Delivery Reports for all orders to ensure on-time shipping is met (LTL & small package orders).

· Ensures that all loads are picked up daily and follows up with carrier if not picked up by 4:00 pm. Makes decision to stay late for late carriers up to 5:00 pm. Arranges new pick-up time if carriers are later than 5:00 pm.

· Ensures that a backup is fully trained including self.

· Updates daily logs on order processing.

KNOWLEDGE / SKILLS / TRAITS:

Knowledge Required:

  • Warehouse experience includes efficiency in organizing inventory, ability to operate equipment, coordinating logistics and proficiency in using warehouse management systems.
  • Inventory Management includes cycle counting and accurate shipping to maintain inventory accuracy goals.

EDUCATION / EXPERIENCE:

  • High School Diploma, GED with equivalent appropriate years of experience.

5 yrs of experience in distribution warehouse environment as well as experience leading a team.
