Description

Job Title: Executive Assistant to President of CPT/Chief Ethics and Diversity Officer

Reports To: President of CPT/Chief Ethics and Diversity Officer

Department: Center for the Public Trust (CPT)

FLSA Status: Salaried Exempt

Schedule: Monday – Friday 8:00 a.m. - 4:30 p.m. - Some work from home flexibility; however, you must live in the

Middle TN area and not out of state.

Summary:

Success in this position requires a person to possess a high level of integrity, a positive attitude and the ability to manage multiple priorities in an organized and efficient way. The ideal candidate is detail-oriented, flexible, passionate, fun-loving, customer focused, with good interpersonal and communications skills.

 Responsibilities and Duties:

General Administrative

· Provide administrative support to our President and other members of the CPT Staff

· Prepare and edit correspondence, communications, presentations, and other written documents as requested

· Maintain a system for storing and tracking historical information that can be retrieved for reference in future meetings and activities

· Screen and manage incoming communication appropriately on behalf of the President

· Manage and screen incoming telephone calls, including taking and communicating detailed messages

· Generate and distribute periodic progress/tracking reports as assigned

· Routinely perform a wide variety of support duties.

· Provide professional and friendly service and interaction with all (internal and external) stakeholders

· Participate in the receptionist relief rotation

Travel

· Coordinate business travel for President, including flight, hotel and ground transportation needs

· Prepare and submit travel and expense reports 

Meetings

· Manage calendar and appointment scheduling for the President

· Coordinate travel logistics for stakeholders attending meetings with President or CPT staff when needed

· Assist with the presentations and collateral material preparations

· Welcome guests and other stakeholders when they come to the office to meet with President or CPT staff

· Participate in meetings at the request of President to capture meeting minutes and follow-up activities 

Projects

· Assist with special projects as needed

· Conduct research, collect and analyze relevant information for projects as assigned

· Manage birthday and thank you cards acknowledgement and distribution as requested by President

· Work with President, Meetings Department and Human Resources Staff to coordinate employee engagement events and activities 

· Support the NASBA Center for the Public Trust activities as requested by the President

· Other duties as assigned by President
