NAMI OC WarmLine Associate Director
Strategize, plan, and collaborate to keep the OC Warmline Program operating efficiently. Responsible for strategic planning,
program policy-making, and maintaining organizational effectiveness, administering, coordinating, and managing the
operations of The OC Warmline. Responsibilities include creating and ensuring quality service with the capacity to handle all
connections received, creating a community of learning and technical assistance, and liaising with key local and state
stakeholders.
Primary Management Duties
- The employee in this position has managerial responsibility for a professional and support staff of 100 or more, some
directly and some through program managers.
- Interfaces with related stakeholder agencies including but not limited to the Orange County Health Care Agency
(OC-HCA), California Department of Health Care Services (DHCS), and the Substance Abuse and Mental Health
Administration (SAMSHA).
- Performs managerial duties to include interviewing applicants for employment; assigning and reviewing the progress
of assignments; conducting performance appraisals; recommending salary increases; and developing higher levels of
expertise in staff members by encouraging further education, participation in seminars, and providing learning
opportunities within program mental health and/or substance abuse services.
- Ensures that established personnel policies are followed. Identifies staff training needs and ensures development and
implementation of programs that address needs; participates in delivering training sessions to meet the needs of staff
related to clinical/program needs. Ensures that all employees receive prescribed orientation and in-services.
- Coaches staff in the development of their work plans, assigned duties, responsibilities, and scope of authority.
- Ensures that all program staff complete assessments, treatment plans, progress notes, outcome measures, and/or
other reporting data in a timely and quality fashion.
- Track metrics and identify trends, implement measures to improve outcome measure metrics on an ongoing basis.
- Leads and/or facilitates routinely scheduled meetings as requested or required for the program warmline or agency.
Program Leadership
- Develops program planning and innovations to ensure effectiveness and growth.
- Defines the strategy, goals, and objectives of the program, under the direction of the Warmline Clinical Program
Director
- Forms a highly effective team and collaborates across warmline divisions to accomplish the program’s short and
long-term goals.
- Provides leadership to program staff ensuring that the services meet or exceed contractual performance goals; ensures
delivery of services in accordance with contracted guidelines and NAMI OC guidelines.
Program Quality, Compliance, and Reporting
- Measures progress against plans and stated goals as it applies to program documentation.
- Reviews case documentation and status reports prepared by program staff to ensure all legal, contractual, and
revenue-generating reports meet or exceed required Agency and applicable regulatory agencies standards.
- Ensures all administrative documentation is accurate and submitted within the established timeframe; gathers and
analyzes information and prepares routine reports including those used to assess performance.
Financial Duties
- Efficiently utilizes financial resources while maintaining a commitment to quality service when requesting and
purchasing quality assurance program supplies.
- Assists Warmline Clinical Program Director in the development of program budget and ensures expenditures comply
with approved budgets; monitors and evaluates budget issues and recommends corrective action.
- Collaborates with the Director of Finance and the WL Program Director in maintaining the WL budget.
Experience & Education Requirements
- Bachelor’s degree from an accredited college or university (required) and minimum 5 years experience in the mental
health field or Paraprofessional training.
- Master’s degree in a relevant field (preferred). Experience supervising and training staff is necessary.
- Demonstrate working knowledge of the mental health, substance use, and suicide prevention services specific to
hotline or emotional support warmline mental health services.
- Support the values and mission of NAMI OC as related to employment.
- Demonstrate knowledge of Evidence-Based Practices and/or the Recovery Model of treatment.
- Know and comply with Agency policies and procedures, HIPAA, OC-HCA policies and documentation guidelines, and
other state, and federal regulations relating to quality assurance and improvement.
- Be experienced in the types of peer support and case management appropriate to the program.
- Manage employee performance consistent with defined NAMI OC guidelines.
- Utilize analysis, experience, and judgment to make solid business and therapeutic decisions.
- Adapt to changing needs by acquiring new skills and knowledge.
- Bilingual English/Spanish, English/Vietnamese, English/Farsi or English Korean - a plus.
Ability to pass a background clearance.
