My Pets Wellness is Hiring a Veterinary Receptionist Near Spring, TN

My Pets Wellness has an immediate opening for a full-time veterinary concierge / front desk agent to join our growing Middle Tennessee team! We are searching for an enthusiastic client liaison who excels in communication and enjoys developing meaningful relationships with veterinary clientele (and our furry patients) to ensure a seamless, supportive, and positive experience from the moment they walk through our doors.

Our ideal candidate will have veterinary receptionist experience and exceptional emotional intelligence and interpersonal skills to thrive in a dynamic veterinary clinic environment. This position will work directly with our remote concierge team and concierge management to schedule appointments and coordinate client flow and will serve as the primary point of contact in our effort to create an elevated, high-touch client experience.

We have two locations in the Spring Hill area that this position would rotate between:

  • 2040 Reserve Blvd, Spring Hill, TN 37174
  • 510 Burkitt Commons Ave Ste D2, Nolensville, TN 37135

Key Responsibilities:

  • Serve as a customer liaison, making every client feel like part of our extended family by learning their names, building relationships, and providing personalized care.
  • Manage check-ins, check-outs, and perform a variety of administrative tasks with a high level of attention to detail.
  • Schedule appointments across our network locations in accordance with scheduling guidelines, both over the phone and in person.
  • Monitor the schedule for appointments booked online, verify the appointment type, and follow up with clients as needed to ensure that the medical team has all the necessary appointment information.
  • Communicate basic animal wellness and preventive care information to clients, demonstrating a compassionate understanding of their concerns.
  • Facilitate effective communication between clients and our onsite medical team, including managing messages, prescription requests, and relaying lab work results as appropriate.
  • De-escalate difficult client interactions with empathy and clear communication, directing them to the appropriate management resources when necessary.
  • Work with the onsite medical and remote concierge teams to coordinate schedule changes, including cancellations, no-shows, and reschedules, while ensuring smooth operations and client satisfaction.
  • Provide estimates for basic services over the phone.
  • Forward book appointments in collaboration with the medical team to ensure continuity of care.
  • Maintain the front of house (FOH) area to ensure it is clean and presentable at all times, adhering to opening and closing checklists.
  • Partner with the onsite team to decorate the retail area for holidays and events (e.g. Valentine’s Day, Halloween, winter holidays, etc.).
  • Ensure retail shelves remain organized and clean.

Education/Experience requirements:

  • Minimum of 1 year of veterinary reception experience.
  • Excellent customer service and communication skills, with an ability to engage clients warmly and effectively.
  • Strong organizational skills and initiative, demonstrating excellence in care as the initial point of contact for our clients.
