GENERAL SUMMARY:

The HR Specialist provides support to the organization, including but not limited to employment needs. Provides information to employees regarding regulations, policies, benefits, and general support. Addresses a broad variety of issues, maintains files, databases, and records of personnel actions, evaluations, and tenure.

Minimum Qualifications:

  • A Bachelor’s degree in relevant field preferred; or combination of higher education and 5 years of Human Resources work experience; or 10 years Human Resources experience.
  • SHRM certification desired.
  • Considerable knowledge or principles and practice of personnel administration and office administration procedures.
  • High level of interpersonal skills and able to handle sensitive and confidential situations and documentation.
  • Considerable knowledge of computer software and proficiency in programs such as Microsoft Word and Excel.
  • Excellent telephone and oral communication skills as well as excellent spelling, grammar, and written communication skills.
WORKING CONDITIONS:
  • Lifting up to 50 lbs with or without an accommodation.
  • Carry up to 20 lbs occasionally.
  • Standing 1-2 hours at a time
  • Walking approx. 30 minutes per hour throughout the day.
  • Withstanding pressure and deals with emergency situations as needed.
  • Average working hours with possible non-traditional hours.
  • Potential for exposure to blood and body fluids.
  • Ability to deal with disgruntled patients in order to deescalate the situation.
Duties and Responsibilities:
  • Maintains personnel files in compliance with applicable legal requirements
  • Keeps employees records up-to-date by processing employee status changes in a timely fashion
  • Maintains records of new and recently filled positions
  • Assists management team with recruiting, interviewing, selecting and orienting employees.
  • Oversees postings and advertisements of available positions, schedules interviews, and conducts pre-employment interviews, etc.
  • Maintains confidentiality of non-public subject matter by ensuring proper protection of files and information with regard to non-public personal information and medical records.
  • Handles employee onboarding and assures that correct paperwork in completed before employee start date
  • Prepares personnel action forms and assures proper approvals
  • Prepares paperwork required to place employee on payroll and establish personnel file
  • Assists in hiring process by coordinating job postings within Newton, newspapers, online, and within the company website
  • Accepts written interest and resumes from candidates and keeps search files up-to-date
  • Maintains the Employee Handbook with updated policies and pertinent information as needed
  • Conducts new employee orientations at headquarters to, ensure employees gain an understanding of benefit plans and enrollment provisions. Counsels employees (and potential employees/applicants) on plan provisions so that individuals can inform benefit decisions. This includes all levels of employees including executives
  • Participates in administrative staff meetings and attends other meetings and seminars
  • Maintains compliance records with federal and state regulations concerning employment through credentialing updates
  • Acts as liaison between employee, insurance providers and to resolve benefit related problems and ensure effective utilization of plans and positive employee relations
  • Administers health and welfare plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serves as the Cobra Administrator for company
  • Manages annual open enrollment period during 4th quarter of each year. Arranges for distribution of materials from carriers, assists with, communicating changes to employees and arranges for on-site representation by providers. Conducts employee presentations. Processes changes within deadlines
  • Assures compliance with COBRA guidelines by preparing letters and other paperwork as directed; receives and records COBRA insurance premium payments
  • Participates in the planning and execution of employee and volunteer events.
  • Performs other related duties as required
