JOB SUMMARY: The Department Manager will be responsible for day to day operations including Hiring and Firing and direct oversite of staff, ordering of supplies, writing of Policies and Procedures, maintaining an efficient work flow for staff and providers, helping to evaluate and grow the practice while delving into the patient care and fiscal performance. This practice operates in multiple locations that will require direct oversight working with both clinical and clerical staff.

DUTIES AND RESPONSIBILITIES:
The Office Manager:

1. Manages daily operations of the offices and provides guidance and supervision for patient staff including nursing, medical assistants, clerical staff and working closely with Physicians and Mid-level providers.
2. Responsible for recruitment, hiring, orientation, discipline and evaluation of all office employees.
3. Ensures that the offices are appropriately staffed for both good patient care and fiscal responsibility.
4. Ensures that the offices are appropriately stocked with appropriate supplies.
5. Identifies problems and accepts responsibility for decision making and problem solving in a positive manner.
6. Plans and directs fiscal management of cost center(s). Prepares annual budgets, including monthly and annual data reporting on budget attainment.
7. Prepares reports and projects as necessary. Will include monthly reports, monitoring trends and impact on those trends, maintains policies and procedures and review of such as well as compliance to them. Also gathers other data as necessary and/or requested.
8. Handles a variety of matters involving contact with various staff, medical committees, government agencies and the public.
9. Provides leadership. Maintains a positive role model for customer service, and mentors support staff in the process.
10. Attends or leads appropriate meetings.
11. Consults with relevant staff and hospital departments prior to recommending and establishing new policies and procedures to ensure the availability and support of resources.
12. Adheres to and enforces Mountain View Hospital policies and procedures.
13. Works closely with office physicians to direct the day to day office efficiency and is a key player in making decisions that affect the office.
14. Performs other duties as needed or requested.

QUALIFICATIONS:

Education/Certification: Bachelor’s degree in Health Care Administration, Nursing, or related field preferred. CPR certification. Experience in Medical Billing is not required but is a plus.

Experience: Minimum three years of experience required in private practice office or hospital department in a supervisory position. Previous Supervisory /management experience.

Language/Communication: Must be able to communicate effectively in English.

Mathematical Skills: Good understanding of the use of EXCEL for budgeting purposes.

Mental Capabilities: Able to evaluate data looking for trends and predictions to assist in decision making processes. Be able to effectively communicate to staff,
providers and patients. Must be able to multi-task.

Interpersonal: Capable of counseling, hiring and firing with appropriate finesse. Able to defuse volatile situations with staff, patients and physicians

Performance: Ability to move quickly in response to physician and patient needs.
