Job Title: Intake and Administrative Coordinator – Full-time
Location: St. Johnsbury, Vermont
Salary: $35,000 - $45,000 per year
Work Schedule – Monday – Friday Day Shift 8am – 4pm

The Intake Coordinator & Administrative Coordinator is responsible for ensuring quality administrative systems are utilized regarding clients participating in services provided by the following programs: Vermont Support & Stabilization Program (VTSS) and Transitional Services (Evaluator Contract).
The Intake and Administrative Coordinator will directly support the implementation of all administrative services including but not limited to the following: maintaining our electronic records management system (extended Reach) and our Referral & Intake System; perform a wide range of administrative and office support activities for the department and/or supervisors to facilitate the efficient operation of the organization; other administrative duties assigned by the Director of Clinical Operations and/or Executive Director. The ideal candidate will be self-motivated, possess an attention to detail, work well as a team member, and have the ability to work independently with minimal direction. The candidate will not only provide support to the Administrative Team but will be energetic, positive, flexible, organized, professional, personable, and enjoy helping others.
- This is a FT position. Position is in-office, no remote work.
Job duties include but are not limited to:
- Complete data entry of all referrals and intakes for incoming clients
- Maintain accurate and timely census data
- Collect and maintain data related to case notes, service hours tracking, client placement history, demographics, and referrals
- Review internal files for regulatory compliance and quality assurance, archive closed files as needed
- Order and maintain sufficient inventory of office supplies and marketing materials
- Attend weekly staff meetings and administrative meetings as requested; prepare and/or distribute meeting agendas and minutes
- General administrative duties including but not limited to: scanning, printing, faxing, uploading and mailing documentation
- Work with our (off-site) IT service to resolve technology problems that affect office productivity
- Complete other tasks as requested by supervisor or administrative team
Job Requirements
- Associate degree preferred
- Experience working in a professional office environment providing administrative support to a variety of staff, preferably in the human services field
- Must be proficient with Office 365 (Microsoft Word, Excel, SharePoint, Outlook), and have the ability to learn and master in-house software systems
- Position required background check, and other record checks
