Responsibilities
Staffing Coordinators will be responsible for a broad scope of day-to-day work, including, but not limited to, creating and maintaining current talent profiles with a focus on talent strengths and experience, creating a unique talent pitch for each event, coordinating talent availability and bookings, managing communications with Talent, creating, editing, and maintaining internal templates, communications, paperwork, data, master lists, and other similar duties.
Several months of Training while executing normal staffing tasks and shadowing Show Management will prepare Staffing Coordinators to step into the role of ownership for shows.
As team members are trained and prepared, they will begin to undertake responsibility for the Remote Show Management of teams during events.
Remote Show Management involves communicating with the On-site Team Lead, approved Client Contacts, and Talent to ensure that the event always remains fully staffed, each team member is consistently performing up-to-standard, clients are satisfied, and any real-time needs are addressed.
Staffing Coordinators will support on-site functions remotely and ensure the successful execution of each event. Strong and timely communication is essential before, during & after events.
Event schedules will involve some remote work days, and some nights and weekends. Days off will be scheduled in accordance with the event schedule, with an expectation that the regular schedule, outside of events, is weekdays during normal business hours.
Upon completion of Training, most non-business work hours requested will be held remotely.
Main Job Duties Include :
Maintaining effective and proactive internal team and Talent communication
Screening and selecting appropriate media (photos, videos, resumes) for talent profiles
Curating custom pitches for talent by summarizing relevant work experience and personality characteristics.
Utilizing evaluation procedures to organize and prioritize Talent for Staffing.
Building and maintaining documentation and organization of Talent profiles, Talent performance evaluations, event details, tax information, and more.
Manages important scheduling details, obtaining all necessary internal approvals for templates, e-mails, communications and contracts.
Responds to all Talent & Client requests in a timely and professional manner.
Supports and eventually Manages events remotely.
Qualifications :
3-4 years of experience in staffing / recruiting is preferred but not required
High degree of professionalism and impeccable communication skills
Strong attention to detail with developed organizational and time management skills
Ability to identify main concerns and priorities while handling moving parts in a fast-paced environment
Agile & able to pivot with changing priorities
Self-accountability for project timelines, deadlines and time management
Excellent written & verbal communication skills, grammar, and organization
Proactive about thoroughly researching all available data points
Proficient with Google Workspace, Google Sheets, Forms, Documents, Drive, as well as Excel & Word
Maintains strong organization across spreadsheets and data with multiple variables
