Montserrat College of Art is Hiring an Accounts Receivable Associate Near Beverly, MA

Reports to: Director of Student Financial Services

Status: In-person, part-time (25 hours per week); Non-Exempt

Salary range: $22-24 / per hour

Reporting to the Director of Student Financial Services, the primary role of the Accounts Receivable Associate is to maintain the accuracy of student accounts receivable and oversee the billing and collection process to ensure timely and accurate accounts for students. This position reviews tuition and fees, posts payments, creates account adjustments as needed, and processes accurate student refunds.

The Accounts Receivable Associate is also responsible for processing other cash receipts for the College, including donations, sales from the art supply store, and other miscellaneous items. The Accounts Receivable Associate will work with the Staff Accountant and Assistant Controller to ensure all payments are accounted for and properly posted to the general ledger.

Responsibilities:

  • Maintain the accuracy of student tuition and fee accounts and oversee the billing and receipt process to ensure timely and accurate billing statements for students. Responsible for all students’ accounts (full-time, part-time, non-matriculating, and other specialized populations); approximately 500 persons per year.
  • Assist the Director of Student Financial Services to counsel students regarding the tuition and fee payment process and options available to finance the balance due, such as payment plans, student loans, and personal payment arrangements with the College. Provides assistance with customer service, parent/student interactions, and dispute resolution.
  • Collaborate with outside vendors on collection efforts to resolve outstanding balances from former students.
  • Ensure that all funds, including student payments, federal/state disbursements, and other sources are properly accounted for in a timely manner. Reconciles all General Ledger accounts assigned to the Student Financial Services Office.
  • Processes and distributes 1098T Tax form for BFA students each year.
  • Assists with financial reporting, audit preparation, and maintaining appropriate internal controls.
  • Partners collaboratively with other College offices and directs resources to student financial policies as appropriate.
  • Assists with maintaining policies and procedures related to the Student Financial Services Office and receivables.
  • Other duties as assigned.

Requirements:

  • High school diploma or greater, with 2-3 years of experience working in student accounts, accounts receivable, or as an accountant/bookkeeper.
  • Working knowledge of accepted accounting/bookkeeping principles, methods, and terms, preferably with an emphasis on college and not-for-profit accounting.
  • Knowledge of computer applications and terms regarding funds accounting.
  • Ability to perform with a high degree of accuracy, diplomacy, confidentiality, and professionalism.
  • A general understanding of college admissions and the impact of financial aid on the student’s decision-making process is preferred.
  • Excellent communication and interpersonal skills to build trust and rapport with students and their families.
  • Ability to work independently, meet deadlines, and provide exceptional customer service.
  • Occasional weekends and evenings are required (2-3 times per year).
