Digitization and Special Projects Assistant

Expertise

I support the planning and preparation of materials for digitization including reviewing proposals for new digitization projects and maintenance of the Library’s existing digitized collections. I facilitate the process for establishing new collections, formats, and requisite circulation procedures as well as de-selection of materials. I assist with data collection and reporting to aid collection analysis and inform de-selection procedures. I coordinate special projects, as needed, to facilitate consistent cataloging and processing of materials.

Essential Functions, Responsibilities, Knowledge and Skills

I play a key role in the Library’s Digitization program and use software and related tools to create, edit, maintain, and publish digitized materials according to the Library’s Digitization Program.

I assist in the review of proposals for new collections, digitization projects and collection changes, and advise the Content Development Manager on process and best practice considerations.

I send and receive materials for digitization under the direction of the Content Development Manager.

I use a variety of tools including Simply Reports, CollectionHQ and ILS native reports to aid analysis of the Library’s collections and support workflows.

I help document and support the Library’s scheduled weeding program under the direction of the Content Development Manager. I prepare weeding lists, distribute them to staff, and serve as a liaison between Content Development and Circulation Services staff to coordinate scheduled weeding and other collection change projects approved by the Content Development Manager.

I create or update documentation to support changes to existing collections as well as the development of new collections. I ensure the proper execution of identified procedures to develop new collections and implement changes.

I am familiar with MCPL’s cataloging and processing guidelines and procedures.

I provide occasional support for the department’s acquisitions workflow including preparing materials for return/exchange, and releasing and updating invoices.

I perform various clerical tasks, including answering phones, responding to emails and organizing materials to assist with the cataloging process.

I participate in department and Library-provided training and educational programs to stay up to date with best practices. I attend and contribute to department meetings; take part in special projects and committees as assigned.

I perform other Library functions assigned to my position to ensure effective and smooth continuity of Library operations.

I have excellent organizational and time-management skills and can concentrate and pay close attention to detail.

I possess and practice good critical thinking and problem-solving skills.

I have excellent computer skills with working knowledge of standard hardware and software.

I am an effective communicator with good listening and communication skills. I interact positively with patrons, employees, and outside contacts in a tactful and professional manner. I am consistently pleasant, positive, and responsive to a diverse public and staff.

Required Education/Experience and License/Certifications

Bachelor's degree strongly preferred. Substantial applicable work and/or academic experience may be considered in lieu of degree.

Two years of library technical services experience required including cataloging, processing, ordering or receiving materials for circulation.

Familiarity with library standards such as the Dewey Decimal System, MARC records and OCLC preferred.

Indiana Public Library Specialist 4 level Librarian Certification or ability to obtain certification according to Indiana Code 36-12-11-6 guidelines preferred. High school diploma or equivalent required.

Supervision Received

Receives general supervision. Follows standard procedures and operates with infrequent functional guidance. Works independently and normally sets work flow and performance routines. Unusual questions and situations are referred to the supervisor or manager, frequently accompanied with additional information and suggestions for correction.

Working Conditions

Regularly sitting and performing various repetitive actions and extensive use of keyboards, mice, monitors, and varied digital devices, requires use of hands, fingers and repetitive motions.

Frequently standing, walking, moving about on foot to accomplish tasks, and moving from one work site to another.

Work has standard vision requirements; frequent speaking, vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels.

Occasional to frequent travel, entering and exiting vehicles, driving, moving, and carrying materials to and from various locations.

Occasional moderate lifting (25 lbs.) and infrequent heavy lifting (up to 50 lbs.). Assistance with excessive loads is required.

Normal library working conditions; moderate exposure to office/maintenance chemicals (cleaning solutions, glue, paint, etc.).

Occasional exposure to fluctuations in interior conditions such as noise and temperatures.

May encounter exposure to outside elements, heat, cold, rain, snow, ice, etc. when traveling on library business.

Infrequent climbing or balancing, stooping, kneeling, crouching or crawling, reaching with hands and arms.

Benefit/FLSA Status: Pay Grade 112

Hours/Week: Full Time/37.5 hours/wk.

Compensation: Hourly Rate: $17.19

Certification(s): Indiana Public Library Specialist 4 level Librarian Certification or ability to obtain certification according to Indiana Code 36-12-11-6 guidelines preferred. High school diploma or equivalent required.

MCPL employees may be assigned to work on weekdays, evenings or weekends. MCPL remains open during local academic breaks and we are unable to accommodate extended absences, including those associated with semester breaks. MCPL work schedules adjust in response to changing operational needs.
