Molecular Testing Labs is Hiring a Client Implementation Project Manager I Near Vancouver, WA

Position Title: Client Implementation Project Manager I, II, III, or Sr.

Effective Date: 4/1/2024

Reports To: Client Implementation Manager

Position status: Full Time, Exempt

Primary Function:

The Client Implementation Project Manager is responsible for planning and implementing projects focused on client success. This entails developing comprehensive project plans that detail timelines, resources, the development of Statements of Work, and ensuring these projects align with the broader goals of the organization, often employing methodologies like Lean and Six Sigma to optimize processes. Collaboration across various departments is crucial to ensure seamless project execution and to align project objectives with overall business goals.

Duties and Responsibilities:

  • Ensure that proper guidelines for communication are set at the project start-up and maintained throughout, by creating and updating the project specific Communication and Escalation Plan.
  • Proactively manage and track project progress, lab reporting, or logistical issues using a variety of internal management reports and the tools available.
  • Provide Clients with regular updates via a variety of reports, issues, or any deviations from the protocol either at the site level or internally. Forecasting and communicating progress in a responsible and professional manner.
  • Participates in teleconference/communication with Clients - either routine updates or discussion of specific issues.
  • Responsible for setting the timelines for and monitoring the progress of shipment requests for storage samples including data verification.
  • Interface with Business Development as needed for proactive monitoring of project timelines.
  • Responsible for documenting correspondence with all Clients and maintaining specific files to ensure that all appropriate documents are properly maintained, ensuring all necessary documents are archived at study closure.
  • Review new or updated SOPs as they are published to ensure they remain relevant, current and are being followed. Recommend policies, procedures, and processes to ensure that a high level of QC and QA is maintained.

Client Responsibilities:

  • Maintain and grow client relationships through professional communication.
  • Manage and interpret customer requirements – speaking with clients to understand, anticipate, and meet their needs.
  • Manage projects from initial scope development to final data delivery.
  • Identify and resolve client concerns; recommending a course of action to alleviate these concerns in the future. Communicate these concerns/issues to lab management.
  • Respond to client questions and requests in a timely and accurate manner.
  • Report findings and results back to client.
  • Keep clients informed of new developments and lab services.
  • Provide quotations and job specifications for specific work.
  • Identifies and communicates to management on new marketing opportunities and other issues.

Project Responsibilities:

  • Work with client and lab to define project specifications. Communicate project schedule to lab.
  • Configuration of the LIMS system as defined by project requirements.
  • Coordinates with laboratory staff to provide exemplary service to customers.
  • Review incoming work to ensure work requests are properly specified according to project requirements.
  • Track projects through the lab, keeping client and lab personnel appraised of progress.
  • Prepare, review, and approve invoices for specific work orders.

Process Improvement Responsibilities:

  • Identify and analyze existing business processes that need improvement.
  • Implement Lean and Six Sigma methodologies to streamline these processes, reduce waste, and enhance quality of client success initiatives.
  • Facilitate change in processes and help employees adapt to new ways of working by organizing detailed training documents and performing cross-departmental training.
  • Promote a culture of continuous improvement within the organization.

Skills, Knowledge, Abilities:

  • Project management acumen is crucial to effectively manage multiple projects in a dynamic environment, meet tight deadlines, and communicate effectively with various audiences.
  • Strong analytical skills and the ability to facilitate teamwork and collaborate with stakeholders, underpinned by a broad understanding of process improvement methodologies.
  • Proficient with Microsoft Office, particularly with Excel, Word, Outlook, PowerPoint and SharePoint/Teams, program management software, such as Monday, and visual workspace applications, such as Miro
  • Experience with AI assistance software, such as ChatGPT, and advanced data analytics software, such as PowerBI, R, or Python, a plus.
  • Familiar with organizing a Statement of Work, Contracts, and Lab Service Agreements
  • Ability to use (or learn to use) LIMS and other computer software for logins, program specs, invoicing, and other required tasks.
  • Experience in a laboratory or scientific background preferred.
  • Possess the ability to multitask, remain composed and even keeled in stressful situations, and perform effectively despite shifting priorities, workload, and external pressures.
  • Excellent Presentation Skills that can be tailored to front-line and C-suite audiences.
  • Able to express themselves written and verbally.
  • Ability to work with and maintain the confidentiality of customer proprietary information and patient health information.
  • Mastery in following established processes and use of all PM tools.
  • Motivated self-starter: ability to successfully perform job functions with little or no supervision.
  • High level of attention to detail

Education and Certification:

Education/Experience Requirements-

  • Bachelor's degree or four (4) years of experience in a directly related field required.
  • At least three years of Project Management experience
  • Advanced Excel and MS Office knowledge
  • Experience with LIS or CRM.
  • Experience in the medical testing or healthcare industry is highly desirable.
  • Experience with process improvement preferred.
  • At least one year of mentoring, supervising, or leading other staff members.

Certifications-

  • Certifications like PMP, ACP, scrum, Agile, ITIL or Six Sigma, Prince 2, Safe 5.0 or any other.

Physical Requirements:

  • Must be able to sit or stand for up to 8 hours per day.
  • Occasionally required to lift up to 20 lbs.
  • Regularly required to sit, stand, bend, reach and move about facilities.

Work Environment:

VANCOUVER OFFICE - Most work will be performed in an office. However, this position may require some traveling and working between locations. Workweeks usually consist of 40 hours.

REMOTE POSITIONS - Most work will be performed away from the office in the employee’s home or in another remote work site. However, this position may require some traveling and working between locations. Workweeks usually consist of 40 hours.

  • Desktop computer and laptop
  • Scanners and printers

Hazards:

  • Work is performed in an office environment, full manual dexterity and visual acuity required. However, access to the laboratory may be necessary and therefore employee may be exposed to potential physical harm from hazardous chemicals, infectious diseases, blood-borne pathogens, toxic materials, toxic gases, electrical hazards, dangerous tools, and equipment.
  • Hep B Vaccination provided at no cost to employee.
