MIT is Hiring a Program Assistant, Special Program for Urban and Regional Studies (SPURS) Near Cambridge, MA

PROGRAM ASSISTANT, Urban Studies and Planning (DUSP)-Special Program for Urban and Regional Studies (SPURS)/Hubert H. Humphrey Fellowship Program, to collaborate with staff, faculty partners, and vendors in the execution of the program. Will plan and organize event logistics and program communications; support alumni relations and other program administration; provide support to cohorts of international fellows on MIT resources, cultural adjustment, and other areas as needed; and serve as a secondary liaison to internal and external offices and partners, including the Humphrey Fellowship Program sponsor. Responsibilities include collaborating on event planning and logistics, including scheduling, travel arrangements, catering, venue and vendor selection, communications, and budgets; preparing correspondence to incoming and current fellows, program affiliates, and alumni, including drafting and updating newsletter content, website maintenance, and social media updates; maintaining alumni database, collecting and organize alumni news, and supporting alumni requests; providing programmatic and administrative support to the assistant director; participating in meetings to address status of services, projects, and plans; maintaining program events and travel calendars; coordinating guest travel arrangements; providing guidance to fellows regarding academic and non-academic aspects of their stay in the U.S.; database and file maintenance; assisting with expense reports and reimbursements; placing orders and processing invoices; and performing other duties as assigned.

Job Requirements

REQUIRED: high school diploma or its equivalent; at least three years’ administrative, event planning, or program/project management experience; excellent organizational, planning, communication, and interpersonal skills; ability to work independently, demonstrate initiative, prioritize tasks, pay close attention to detail, and meet deadlines; and discretion and good judgment with confidential information. PREFERRED: bachelor’s degree, experience with international education/exchange and issues faced by international visitors, and familiarity with MIT. Job #24072-5
This is a full-time position working 37.5 hours/week.
A hybrid schedule with flexibility in hours and in-office days is fully supported in keeping with departmental values regarding work/life balance. Some evening and weekend work may be required due to the nature of the program.
This is a three-year position with the possibility of renewal.
