Starting Hourly Rate: $28.33 - $29.58 depending on qualifications

The Job

The Curatorial Department Assistant reports to the Chair of Global Contemporary Art and provides administrative support to the Global Contemporary Art department.

In this role, you will….

· Assist department members with scheduling meetings, making travel arrangements, processing invoices, reconciling expenses, acting as the department’s project manager, and other administrative duties as assigned.

· Handle all requests for the public and museum staff for object information, photo requests, photography permission requests, appraisal/authentication information, etc.

· Provide administrative support to the Contemporary Art Affinity Group such as developing program ideas with curators, coordinating the visits of lecturers and scholars, providing content for Affinity Group emails, etc.

· Adhere to exhibition planning process timelines.

· Assist with exhibition-related publications including assisting curators to meet deadlines and budgets, object label copy and wall texts, compiling research, locating images and resource materials, mailing catalogues to photo and object lenders, proofreading material intended for publication, securing copyright permissions, etc.

· Provide materials and information for traveling exhibitions.

· Compiling installation requirements and restrictions.

· Assist curators with formatting and submission of accession proposals and presentations as directed.

· Communicate and work with donors and galleries as needed.

· Coordinate gallery work and schedule location changes with Registration, Art Crew, and label production.

· Organize and maintain object files with new research. Update object records in TMS database.

· Maintain all departmental expense and account records.

· Process all approved departmental expenditures and assist with establishing department budget each year.

· Coordinate details for visiting artists/presenters including contracts, travel, and accommodations. Draft, route and maintain contracts for artists, lectures, and other events.

To be successful in this role…

You are highly organized, able to handle multiple priorities and interruptions, and can monitor and track projects to keep team members informed of deadlines. You have excellent written communication and editing skills and a high degree of accuracy. You have an interest in the arts and thrive in a support position.

Specific Requirements

· Two or more years of prior experience in an office environment with administrative responsibilities.

· Project coordination skills.

· Able to work with and communicate effectively with people of a variety of different educational, ethnic, language, and economic backgrounds.

· Excellent organizational skills, attention to detail, and time management skills.

· Proficient in Microsoft Excel, Word, and PowerPoint.

· Ability to perform administrative duties with speed and accuracy without immediate and constant supervision.

· Able to maintain confidentiality and discretion in handling sensitive departmental relations and records.

· Self-motivated with the ability to initiate and follow through on assigned and independent projects.

· Non-profit/museum experience a plus.
