Mingledorff is Hiring a Remote Commercial Inside Sales Support

Job Purpose:

To provide in house sales, sales support and customer service for Account Executives and Territory Managers in assigned territory.

Job Duties and Responsibilities:

  • Quote, order, coordinate and track products for Account Executives, Territory Managers and customers
  • Prepare, review and enter orders to ensure all fields are complete and accurate in current versions of vendor systems
  • Maintain accurate information on orders and review reports to determine and correct any errors; may submit and coordinate orders for pickup and delivery
  • Maintain quotes and accurately link them to the appropriate orders (sell job, change customer numbers and extend dates if necessary)
  • Determine and reinforce proper margin levels and job accuracy by applying claims and conducting job audits, and re-negotiating GM levels to ensure that product is billed correctly
  • Respond to inquiries from customers to maintain a high level of customer service from all sources, which may include, but not limited to:
    • quote requests from dedicated Quick Quote line
    • requests from regional dedicated email address
    • departmental phone calls
  • Manage product availability, shipping schedules, and over-all job status
  • Maintain and distribute vendor acknowledgements and/ or tracking information to the salesperson
  • Partner with Estimators, Sales, Credit and others to discuss payment options, credit releases, etc. for orders
  • Accurately enter credit and rebills in company system
  • File Carrier Credit Requests and ensure payment is received
  • Process returns for assigned warehouse
  • Track shipments for assigned managers
  • May assist with bid process to include:
    • update and maintain accurate and current Department Bid List on Company databases
    • Ensure bids are distributed to customers at appointed times
  • May assist with projects to include:
    • Create and maintain project files
    • Coordinate with Plans Resources to secure plans and specifications for projects/jobs
    • Distribute project plans and specification to estimators to ensure even work loads
    • Send “Operation and Maintenance Manuals” to customer at end of project or upon request
  • Other duties as assigned
  • Work cooperatively with others
  • Comply with all company policies and procedures

Qualifications:

  • Bachelor’s Degree, preferred
  • 3 years Administrative Assistant experience
  • 2 years experience in the HVAC industry, preferred
  • 2 years customer service experience
  • Proficient computer skills in MS Office
  • SAP experience, a plus
  • Proven multi task skills
  • Excellent written and verbal communication skills
