Summary:

Minds Matter Portland is actively seeking an individual who is dedicated and passionate to join our esteemed team as a Program Associate. We are a college access program, whose mission is to connect driven and determined students from low-income families with the people, preparation, and possibilities to succeed in college, create their future, and change the world. We are unwavering in our commitment to delivering exceptional programming. The Program Associate will play a pivotal role in facilitating and coordinating our expansion program, ensuring the attainment of successful outcomes for our students. This position is integral in assisting with the recruitment, retention, and support of our students. Moreover, the Program Associate will oversee the expansion of our services to a Hillsboro, OR location.

Essential Duties and Responsibilities:

Program Planning and Development

  • Assist in the planning, coordination, and smooth execution of Minds Matter Portland's programs, which includes Saturday activities of tutoring, mentoring, lunches.
  • Cultivate relationships with partners, educational institutions, and community organizations to expand Minds Matter Portland's network and enhance program offerings.
  • Attend external meetings, conferences, and forums to represent the organization and promote its mission.
  • Assist in the planning and execution of fundraising events, workshops, and college application assistance sessions.
  • Coordinate logistics, secure venues, and manage event registration.
  • Collaborate with the Minds Matter Portland staff team, which includes the Executive Director and Program Director, to provide support in non-program related tasks such as grant writing, event planning, and organizing workshops as necessary.

Program Management

  • Recruit, onboard, and train volunteers to serve as mentors, tutors, and across a variety of other roles.
  • Support volunteer engagement, retention, and recognition through periodic check-ins, workshops, and appreciation events.
  • Maintain accurate and up-to-date student records using the organization's database system, ensuring the confidentiality and privacy of sensitive information.
  • Generate reports to monitor program progress and identify areas for improvement.

People Management

  • Recruit and manage the volunteer tutor and volunteer mentor lead teams to ensure smooth Saturday operations.
  • Observe and coach student-facing positions throughout the year.
  • Build meaningful relationships with students through ongoing communication, guidance, and mentorship to foster their intellectual and personal growth.

Supervisory Responsibilities: The Program Associate will lead a team of volunteers who provide tutoring, mentoring, and college counseling support to students. This position does not have supervisory responsibilities of direct employees.

Time Commitment:

This is a full-time role that requires flexibility to meet after traditional work hours and coordinate volunteer committees who may have full-time jobs elsewhere. The availability required for this position is Tuesday to Friday during business hours, plus in-person availability at our site on Saturdays from 9am to 3pm.

Qualifications:

  • Bachelor's degree required
  • Coursework in education, social services, or a related field preferred.
  • Proficiency in both English and Spanish is required (written and spoken)
  • Strong organizational skills with the ability to manage multiple responsibilities and deadlines.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively as part of a team.
  • Demonstrated commitment to diversity, equity, and inclusion.
  • Previous experience working with high school students or in a mentoring capacity is highly desired.
  • Proficient in Microsoft Office Suite and experience working with database systems.

Benefits:

  • Competitive salary commensurate with experience, from $21-$24 per hour
  • An additional stipend of $500 per month to support health insurance costs. No health insurance is provided by Minds Matter Portland.

This position is predominantly remote (work from home) with approximately 20% in person commitments in an office or educational environment. There may be frequent interruptions and high utilization on some days and low utilization on others. The noise level may be moderate to high when working in a non-remote work environment depending on the situation.

The work is typically performed in your own home office environment with approximately 20% at office or educational type environments. While performing the duties of this job, the employee is regularly required to: use hands to handle or feel while typing or making calls. They will regularly need to talk; see; and/or hear to interact with students, volunteers, board members, etc. Employee must be able to work in close contact with individuals and small and large groups. Employee will regularly sit for long periods of time and occasionally stand for long periods of time. Employee must occasionally be able to lift 40 lbs.
