Intake Clinician, Utilization Review/Client Care Coordinator

Position Summary:
The Intake Clinician, Utilization Review/Client Care Coordinator is responsible for guiding clients through their Mindful Health treatment journey, by providing support, education, and assisting clients with questions or concerns. In order to make expert recommendations for the most appropriate level of care, the Clinician conducts Intake Assessments, consults with clinic management, and communicates those recommendations to prospective new clients. This position bridges the communication between medical providers, outside professionals, and in house behavioral health providers. They keep clients engaged in their care; provide same-day care for clients in need who originally come in for behavioral health appointments by reviewing skills, care plans, and/or connecting to resources, providing group psychotherapy and psychoeducation, as well as other aspects of care, treatment, and services within the scope of licensure. They monitor adherence to Mindful Health's utilization review plan to ensure the effective and efficient use of outpatient services and monitor the appropriateness of outpatient admissions and extended outpatient treatment.

Education & Experience:
- Must have a master’s degree in social work, psychology, human development, counseling or behavioral science field from an accredited college or university.
- Must be actively licensed in the State to provide clinical care, treatment, and services (i.e., LPC-A, LMSW, LMFT-A).
- A minimum of 1 year’s experience in clinical assessment & diagnosis with a focus on the treatment and prevention of mental, emotional, and behavioral health challenges.
- Has an active supervision plan with an LCSW-S, LMFT-S, or LPC-S.
- Active CPR and CPI Certifications.

Supervisory Responsibilities:
None.

Duties / Responsibilities: - May provide group psychotherapy and psycho-educational according to PHP/IOP program schedule.
- Participate in interdisciplinary treatment team meetings with PHP/IOP clients.
- Document all clinical encounters with clients and groups clearly and concisely, demonstrating the therapeutic process.
- Demonstrate an understanding of utilization review issues, criteria for continued stay, and discharge.
- Provide excellent customer service to clients and staff.
- Ensures client satisfaction and participates in addressing issues if they arise.
- Maintain a positive, professional image in the office and in the community.
-Maintain regular work hours, being on time and managing time well.
- Demonstrates personal characteristics of patience, tact, cheerfulness and enthusiasm toward the administration and clients. Must be able to appropriately respond to all types of behavior.
- Reporting necessary clinical information to physicians and nurse practitioners
- Respond and assist in the event of a medical emergency
- Any additional duties that facilitate the effective operations of the programs and services provided.
- Establishes and maintains efficient methods of ensuring the medical necessity and appropriateness of outpatient admissions.
- Performs concurrent reviews for patients to ensure that extended stays are medically justified and are so documented in patient's medical records.
- Coordinates and supervises the activities of the Utilization Review Department.
- Calculates the lengths of stay and continued-stay days for patients.
- Assists the Utilization Review Committee in the assessment and resolution of utilization review problems.
- Compiles monthly reports and statistics for presentation to the Utilization Review Committee.
- Receives “warm hand-offs” of clients with identified behavioral health needs after completing a clinical intake assessment. Reviews recommended care plans, educates clients on treatment options, and connects to additional Mindful Health resources as appropriate.
- Explain recommended level of care to client and provide information regarding cost, time, and commitment.
- Acts as liaison between client and identified Mindful Health treatment team to problem solve any identified treatment barriers.
- Act as point of contact for communicating with referral sources and providing information as requested.
- Provide excellent customer service by employing active listening techniques, displaying empathy and courtesy, and demonstrating effective communication through proper tone, pace, volume, grammar, and pronunciation.
- Demonstrate sensitivity to individual client situations and show proactive behavior in addressing customer needs.
- Manage client interactions to ensure client inquiries are handled completely and efficiently.
- Escalate transactions when defined by protocols.
- Demonstrate compliance with Mindful Health policies, including those relating to HIPAA compliance.

Knowledge, Skills, and Qualifications:

- Knowledge and experience in the therapeutic milieu.
- Strong attention to detail and accuracy.
- Knowledge of Joint Commission and state and federal regulations related to care, treatment, and services.
- Knowledge of HIPAA, and other laws applicable to mental health services.
- Knowledge of continuous process improvement concepts and practices.
- Emotional intelligence and empathy, as demonstrated by the ability to identify with and understand another person’s point of view and ask the right questions to determine the focus for treatment.
- Communication, as demonstrated by the ability to clearly convey, both verbally and in writing, detailed directions, describe processes in understandable terms, and concise documentation of the therapeutic process.
- Active listening skills, as shown by interpreting verbal and non-verbal cues, determine the treatment focus and understand information from colleagues and other mental health professionals.
- Critical thinking skills, as demonstrated by using creative problem-solving as part of the therapeutic process to find the best available options for clients.
- Organizational skills, as demonstrated by making sure each case is updated in a timely manner with the correct information and cases are prioritized based on client needs.
- Cultural competency, as demonstrated by being sensitive to diverse ideas, views, and beliefs, seeking to learn more about others while understanding one’s own background and beliefs.
- Boundaries in the clinician-client relationship but also in establishing a good work-life balance.
- Professionalism, as demonstrated by constantly learning and developing better ways to serve clients and the community. Using knowledge gained to improve services with clients, families, and groups.
- Time management, as demonstrated by giving clients the attention they need both in interpersonal interaction but also in completing documentation in a timely manner.
- Advocacy, as demonstrated by verbally representing clients in connecting with services, resources, and opportunities, especially for clients who may not know how to advocate for themselves.

Physical Requirements:

- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift, hold, push, and pull 15 pounds.
- Ability to operate a computer and/or laptop through proficient typing, clicking, and viewing a monitor for extended periods.
- Ability to view computer monitors with close vision, color vision, depth perception, and ability to adjust your focus with good hand-eye coordination.
- Must be able to effectively communicate with patients/team members/customers, and clearly express oneself while exchanging information.
- Ability to read, write, and comprehend through listening.
- Ability to perform the essential job functions consistently, safely, and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
- Position may require work at more than one location during a scheduled work week.
- Ability to move about inside the office/client location to provide support to patients.
