TITLE: Payroll Specialist – Part Time

LOCATION: MIGIS HOTEL GROUP CENTRAL OFFICE, WESTBROOK, ME

COMPENSATION: $22 - $30 per hour, depending on experience

START DATE: ASAP

BENEFITS: PTO, 401K, discounted stays and food & beverage at affiliated properties

REPORTS TO: Human Resources Director

JOB SUMMARY:

Migis Hotel Group, a nimble, creative Maine-based hospitality management services company, is seeking a payroll specialist to join our team who will be responsible for biweekly full cycle payroll processing. Working in conjunction with the HR Director and accounting department the functions include new hire/rehire paperwork, payroll processing, benefits administration. This position requires knowledge of general payroll and benefit policies, processes and procedures. This is a 25 – 30 hour per week, with seasonal variations, part time position working from our Westbrook, ME office.

PRINCIAL RESPONSIBILITIES:

  • Process payroll for salaried, hourly and tipped employees with some seasonal variation for 11 properties with a cumulative employee range of 150 – 450.
  • Audit time and attendance system for integrity and accuracy. Verify timecards for supervisor approval and all time worked. Monitor Paid Time Off entered in system.
  • Work with property General Managers to verify credit card and cash tips amounts.
  • Process direct deposit account information, insurance and 401K deductions and garnishments.
  • Manage rate changes, terminations and status changes in payroll system.
  • Verify new hire/rehire W4s, I-9s and other paperwork complete before payroll run.
  • Meet strict deadlines for biweekly payrolls in a fast-paced environment.
  • Reconcile payroll reports, benefit balances, etc.
  • Prepare payroll import file for general ledger and provide managers with reports summarizing labor expenditures.
  • Assist HR Director with benefit enrollment including insurance and 401K plan.
  • Prepare and follow-up on Unemployment Wage Verification/Separation requests from State DOL’s.
  • Prepare and submit necessary worker’s compensation wage verifications and file claim reports accordingly.
  • Respond to employee inquiries regarding pay calculations, taxes, deduction and benefits.
  • Filing, organizing, and any additional tasks related to HR, Accounting Department and Property Managers need assistance with.

QUALIFICATIONS AND REQUIREMENTS:

  • 2-4 years of payroll experience is required, hospitality industry experience a plus.
  • Multi-state payroll experience preferred.
  • Proficient with Time & Attendance and Payroll software. Attendance-on-Demand and Payroll Management a plus.
  • Strong analytical and problem-solving skills.
  • Detail oriented and highly organized with a high degree of personal integrity and mature judgment.
  • Must be able to maintain confidentiality of sensitive information.
  • Demonstrated oral and written communication skills required.
  • Schedule varies according to operational needs during normal working hours. Biweekly payrolls are processed on Thursdays.
