Summary
The Research Coordinator is a full-time position on the Downers Grove, IL campus that reports to the Associate Director of the Office of Research & Sponsored Programs (ORSP).
Duties and Responsibilities
  • Work closely with the Sr. Research Administrator to coordinate various duties related to MWU's Institutional Committees, which include the Institutional Review Board (IRB), clinical IRB (cIRB), Institutional Animal Care & Use Committee (IACUC), and Institutional Biosafety Committee (IBC). Through traditional communication means (email and phone) as well as through the InfoEd electronic system, the Research Coordinator will participate in the following:
    • Conduct initial pre-reviews of protocol submissions, assist in formal committee reviews, and maintain paper copies of protocols and associated paperwork
    • Schedule meetings, prepare meeting agendas and meeting minutes
    • Ensure training obligations are on file, ensure all required follow-up items are completed
    • Remind faculty of upcoming renewal requirements
  • Assist with ORSP publications (quarterly newsletter, annual report, annual booklet) by collecting and organizing faculty publications, collecting quarterly highlights with accompanying photos
  • Assist the Research Compliance Specialist with ensuring research-related requirements are completed such as time and effort training, ensuring researchers submit time and effort reports, etc.
  • Assist the Grants team with:
    • Drafting and distributing congratulatory letters related to grants, contracts and other awards
  • Assist all positions within the Downers Grove ORSP with processing and payment of invoices, once approved
  • Handle paperwork for student reimbursement when students travel to present their research
  • Assist the Sr. Research Administrator, as needed, with organization of MWU's annual Research Day to promote multidisciplinary research
    • Includes coordination of food, paying associated invoices, reserving rooms and supplies on campus for the event
    • Ordering necessary supplies, such as custom award plaques, poster display easels, etc.
    • Issuing checks to poster award winners
    • Administrative support for preparation of Research Day booklets
  • Facilitate purchase of research posters and payment through MWU's ORSP
  • Coordinate the Research Seminar Series by working with faculty to schedule speakers, reserve rooms, facilitate online sessions, handle paperwork for honorariums, advertise seminars, etc.
  • General office administration including, but not limited to, copying, scanning, ordering office supplies, answering telephones, ordering occasional color copies, etc.
  • Accessing the Assistant VP of Research and ORSP Associate Director's calendar to schedule meetings
  • Scheduling of meetings, as requested, by all members of the Downers Grove ORSP (e.g. patent committee meetings, etc.)
  • Assist Intellectual Property and Contracts Administrator with filing patent-related paperwork
    • Cross-train in multiple areas, to provide for general overlap, assistance and a basic understanding of other areas within the ORSP, which will allow the Research Coordinator to serve as a general resource for research-related questions and to point faculty, staff and students with research questions in the proper direction for assistance
  • Assist with other research-related assignments, as determined by the ORSP Associate Director and/or the Assistant VP of Research.

Education and/or Experience
High School diploma required.Bachelor's degree is preferred.Must have 3-5 years of previous related experience, preferably in research administration or a research, laboratory, or academic setting working with faculty and students.Excellent written and verbal communication skills required.The ideal candidate will have the ability to handle multiple priorities and meet multiple deadlines.
Computer Skills
Computer proficiency in MS Office (Word, Excel, Outlook, Access). Experience with InfoEd or other electronic submission systems preferred.
