HORIZONS Conference Center is seeking an enthusiastic and ambitious Event Coordinator looking for an exciting hospitality career with growth potential. The ideal candidate provides outstanding customer service, highly organized and comfortable providing direction to hospitality staff. A love for people and creating impeccable, memorable events is a must. Proficiency in planning and managing events of all sizes is a plus. Our Event Coordinators collaborate with clients during all phases of the "sales cycle" to provide an experience that is unmatched in the industry. We are known for our unique approach to delivering the Art of Hospitality, which is at the forefront of everything we do and contributes to both satisfied and return business and the strength of our team. Many of our core team members have been with us for 15-20 years or more.

Required Qualifications:

A minimum education level of a college associates degree and 5 years of demonstrated success in event coordination in a large banquet and meeting venue. The successful candidate will excel at providing exceptional customer service, have strong written and verbal communication skills and be very attentive to the details no matter how small.

Desired Qualifications:

Proven experience in event sales and planning, history of great teamwork, strong attention to detail, proven dedication to outstanding customer service and highly organized. Experience with Salesforce and Delphi Diagramming software is preferred. A love for people and creating impeccable, memorable events is a must.

Essential Duties & Responsibilities

Include The following:

  • Proactively prospect, qualify, grow, and maintain account list.
  • Handle incoming leads.
  • Meet or exceed target revenue quota.
  • Routinely meet with clients regarding their event(s) to ensure that they exceed clients and their guests’ expectations.
  • Follow developed processes in Sales Manual to achieve sales and service goals.
  • Maintain a Sales Manual to include all routine procedures, reports, standards.
  • Engage in routine meetings to develop both short- and long-term action plans for achieving the sales and service goals.
  • Assist Executive Vice President in developing a Sales Improvement Plan to maximize the use, occupancy, and net revenues of the conference center.
  • Recommend innovative processes for getting work done on time.
  • Communicate with Executive Vice President to obtain advice, information and support related to sales department’s Results Statement.
  • Notify Executive Vice President of any deadlines that can’t be met or challenges that occur during the sales or planning process.
  • Produce detailed and professional communication for internal and external stakeholders and clients.
  • Prepare Banquet Event Orders (BEOs) and floor plans to client specification.
  • Review BEOs and floor plans for completeness and accuracy prior to batch printing.
  • Work with Executive Vice President in the planning and execution of larger corporate, social and in-house events of $20,000 or more.
  • Regularly and consistently communicate changes to operations staff following documented process and procedures.
  • Be present to serve and assist clients at large corporate, social, wedding and in-house events of $20,000 or more of which they were involved in planning.
  • Ensure adherence to HORIZONS standards of excellence.
  • Pursue business leads and develop strong business relationships with clients.
