The Sales Support Specialist will be resolving customer invoice inquiries, generating quotes, processing change requests, and supporting the Sales Director in various tasks related to sales, maintenance, and support.

Essential Functions:

• Resolve customer invoice inquiries and discrepancies promptly.
• Generate Customer Change Request quotes and efficiently process change requests.
• Collaborate with legal and sales teams to draft, review, and modify contracts as needed.
• Create, edit, and format formal RFI and RFP proposals.
• Proactively communicate order statuses and manage incoming orders.
• Assist in generating quotes for additional equipment and spare parts requests.
• Support the Sales Director in yearly maintenance and support price adjustments for marine and rail customers.
• Work collaboratively with accounting on invoice generation, payment tracking, and reconciliation.
• Collaborate with the Applied Technology team on user guides, installation guides, and technical specification documents.
• Ensure product marketing materials are up to date and readily available for customer requests.
• Maintain accurate customer contact information in Salesforce.
• Track and update Salesforce opportunities, reviewing with the Sales Director weekly.
• Schedule and support bi-annual customer visits.
• Assist in conference reservations and activities to enhance customer engagement.

Qualifications Guidelines

Experience/Training/Education:

Required: Highschool diploma or equivalent with 5 years’ experience in sales or marketing with a high proficiency in Microsoft Office applications.

Desired: Highschool diploma or equivalent with 10 years’ experience in sales and marketing.

Knowledge/Skills/Abilities:

• Proficient in Microsoft Office Suite, with a strong emphasis on Excel, Word, and PowerPoint. Microsoft Office Specialist (MOS) certifications are a plus.
• Proven technical writing skills.
• Excellent written and verbal communication skills.
• Exceptional time management and multitasking abilities.
• Strong customer-facing skills for effective communication via phone and email.
• Keen attention to detail.

Physical and Environmental Elements:

This is primarily an office classification and employees work in an office with moderate noise levels, controlled temperature conditions and no direct exposure to hazardous physical substances. May work offsite in various environments; travel may be required.
