Accounts Receivable Specialist
Position Summary:
The Accounts Receivable Specialist is responsible for the collection of Accounts Receivables, submitting customer pay applications, reviewing/releasing orders on credit hold, cash applications, and other duties as assigned.
Essential Functions/Primary Responsibilities:
  • Provide excellent customer service to both internal and external customers.
  • Responsible for the timely collection of customer invoices.
  • Apply incoming customer payments and resolve any discrepancies (short payments, duplicate payments, overpayments, etc.).
  • Process new customer credit applications.
  • Prepare and submit AIA applications for payment in accordance with customer draw schedules.
  • Resolution of rejected/disputed customer invoices.
  • Mitigate risk by identifying problematic and doubtful accounts.
  • Process customer payments and credit card refunds.
  • Review open credits with customers to be applied to open invoices.
  • Liaise with Sales and Finance to ensure accurate and timely processing of customer invoices.
  • Prepare, organize, and update reports as requested by management.
  • Drive continuous improvement by supporting company initiatives, system upgrades, new policy implementations, and identifying areas for improvement.
  • Other duties assigned based on business needs.
Working Conditions/Environment:
Works in an office environment where the employee is regularly required to sit, stand, read, in addition to communicating by phone and email. Reasonable accommodation will be made in accordance with ADA regulations.
Qualification Requirements:
  • 2-3 years of business-to-business collections experience
  • Prior collection experience in the construction industry a plus
  • High School Diploma/GED required. Associates/Bachelor’s degree preferred
  • Excellent oral and written communication and interpersonal skills. Ability to adjust communication method based on customer situation.
  • Proficient in Microsoft Office. Strong Excel skills required.
  • General knowledge of mechanics liens & UCC filings a plus
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Good arithmetic skills and general understanding of GL coding structures.
  • Experience working ERP systems such NetSuite
