JOB DESCRIPTION

POSITION TITLE: ACCOUNTANT

RESPONSIBLE TO: Chief Financial Officer or Designee

FLSA STATUS: Non-Exempt

POSITION GOALS:

Maintains accounts receivable system in conformance with agency accounting procedures and generally accepted principles of accounting. Manage all accounts receivable related tasks and provide accounting support for agency administration.

ESSENTIAL FUNCTIONS

  1. Manages agency accounts receivables, tracks accounts receivable balances, and maintains all required contract record keeping and billings procedures for all Mental Health Kokua operations.
  1. Maintains security system for the daily receivables of all cash & checks. Review all checks received daily and assign codes prior to giving to A/R clerks to deposit.
  1. Check and review the accuracy of accounting clerk’s entries in MIP for rent, food, and program service fees monthly schedules, cash receipts, and journal entries.
  1. Help solve AR clerk’s any hard issues on monthly rent, food and PSF schedules.
  1. Review and initial refund check requisitions prepared by project coordinator’s prior to cutting checks.
  1. Take charge of accounting clerk’s job in his/her absence.
  1. Keeps a complete set of records (Sub-ledger) for billings & payments for all government contracts.
  1. Reviews, exports and transmits all electronic billings for AMHD and other Insurance O/P, PSR & CM contract billings.
  1. Set-up all accounting codes (funding, location, GL and programs) in MIP. Set-up Group Names, facilities, CPT codes, rates, and clinician’s info in EZClaim.
  1. Enters all AR, Revenues and Journal entries for all contracts in MIP.
  1. Prepares HUD Housing monthly billings and post to MIP.
  2. Prepares monthly Occupancy versus billing reports.
  1. Prepares monthly Balance Sheet reconciliation report.
  1. Reconciles monthly Cash Account (Bank versus Book), researches and corrects any discrepancy.
  1. Assist in preparing/closing month-end financial reports.
  1. Provides yearly or as needed Revenue budget report to Chief Financial Officer.
  1. Provides monthly aging report to Chief Financial Officer.
  1. Prepares annual schedules and confirmation reports as require for annual audit.
  1. Performs other related duties as assigned by Management/Supervisory staff.

QUALIFICATIONS

Expectations: 

To assist people with psychiatric disabilities ranging from transitional issues such as anxiety and depression, to life-long, serious mental illness; e.g., schizophrenia; bi-polar disorders; and behaviors that may involve psychosis (i.e., hearing voices; visual hallucinations; delusions, etc.).

To facilitate stressful situations and emotional conflicts with persons served and other stakeholders as part of your job.

Education & Experience:

Minimum Qualifications: High school diploma or equivalent. Five (5) to ten (10) years of accounting experience. Strong knowledge, of accounting and proficient spreadsheet and computer skills.

Preferred Qualifications: Bachelor’s Degree with emphasis on accounts receivable. Three (3) years of experience in fund accounting.

Professional/Personal Skills: Ability to serve as a positive mentor for adults with mental illness needing assistance with daily living skills and community acceptance. Desirable characteristics include tolerance in crisis or stressful situations; able to work as part of a team, good interpersonal and problem-solving skills; flexibility; good oral written and communication skills. 

LICENSES & CERTIFICATIONS:

Pre-employment:

  • Criminal Background Check
  • Health Clearance 
  • Current TB Clearance or TB X-Ray (two-step TB Clearance is required for TLP location)
  • High school diploma or equivalent and/or official College Transcripts (mailed from the school directly to MHK)

If applicable for the position:

  • Current CPR & First Aid Certificates
  • Copies of current professional licenses held
  • Current valid Hawaii driver’s license, vehicle insurance & safety inspection
  • Current safe driving record as documented by a Traffic Abstract
