Menlo Park Presbyterian Church is Hiring a Campus Administrator Near San Mateo, CA

Position Title: Campus Administrator

POSITION SUMMARY 

The Campus Administrator will frequently be the first point of contact for inquiries during the week answering questions and connecting people with the appropriate staff, so we need someone who provides outstanding customer service. The Campus Administrator will need to be task-focused yet relational in order to get everything done while representing Menlo Church in person, over the phone, and via email. The Campus Administrator will need to be proficient in Menlo Church platforms (i.e. PCO, Google Space, and Asana). 

ESSENTIAL FUNCTIONS 

  1. Work as a cohesive unit with our San Mateo staff. 
  2. Responsible for gathering high-capacity volunteers and equipping them for ministry in the church. Recognize talents and gifts and mentor and coach through the leadership pipeline. Lead, encourage, and develop volunteers through 1:1 or large group interactions.
  3. General Administrative Duties: answer phones, handle correspondence, order supplies, file, and coordinate calendars.
  4. Serve as the primary liaison between the Campus and the Central Communications Team. Produce and edit communications for our San Mateo team, including producing monthly campus newsletters, website, and Regularly meet with Campus Administrators from other locations to collaborate, support one another, and own ad hoc projects. 
  5. Serve as the primary liaison between the Campus and the Central Facilities Team. Coordinate and support campus volunteer facilities team.
  6. Coordinate and support campus staff to plan and execute events and services to reach our neighborhood. 
  7. Assist with Campus-wide administrative tasks, including managing calendars, scheduling meetings, assisting with the budget, processing invoices and other paperwork for Finance, and fielding questions and routing communications to the appropriate person.
  8. Manage purchasing and ordering of ministry supplies for the campus as needed.
  9. Ensure Planning Center (PCO) is up to date and accurate. Serve as PCO resource and support for San Mateo staff. Uses PCO to communicate and follow-up with prospective volunteers to ensure completion of volunteer processing steps including interviews, reference checks, background checks, and training. Coordinates with ministry directors to move prospective volunteers through PCO volunteer workflows 
  10. If approved for Menlo ministerial licensing, participate in training and administer baptism and communion as requested.
  11. Manage multiple projects, prioritize tasks, and stay on top of deadlines. 
  12. Develop and maintain positive working relationships by actively living out and championing our staff values of teamwork and being humble, hopeful, and gritty.
  13. Additional duties and special projects as assigned by the Campus Pastor, San Mateo.

QUALIFICATIONS 

Required Education and Experience 

  • High school diploma or equivalent
  • Minimum 2 years’ experience working in administrative field 
  • Demonstrated project management acumen 

Preferred Education and Experience

  • College Degree (AA or BA)
  • Experience in customer service field
  • Experience with event planning 
  • Familiarity with Menlo Church 

Knowledge and Skills

  • Ability to recruit, develop, identify, and multiply high-capacity volunteers
  • High Emotional Intelligence (EQ)
  • Strong administrative and time management skills
  • Proficiency with common office applications and collaboration tools, including Asana and Google Workspace
  • Ability to learn new software and programs
  • Professional written and oral communication
  • Basic understanding of budgets and expense reports
  • Project management
  • Positive attitude and strong interpersonal skills
  • Comfortable working with social media platforms such as FB and Instagram 

Physical demands

  • Stand or sit for prolonged amounts of time
  • Walk, bend, twist, and kneel
  • Climb up and down stairs
  • Finger and hand dexterity to operate computer and office equipment
  • Specific vision abilities required by this job include close, distance, and peripheral vision; and the ability to adjust focus
  • Lift and carry up to 20 pounds with or without assistance
