Job Summary

  • Directly responsible for administrative and clinical duties including but not limited to answering phones, taking messages, scheduling patient appointments, greeting and registering patients upon arrival, entering/updating patient data and insurance information, completing patient encounter and scheduling follow-up appointments as requested. Clinically the CCMA may assist with patient intake and preparation of patients including but not limited to assisting provider in exam room or procedure. Responsible for participation and compliance of departmental projects and tactics.

Will perform duties consistent with the needs of the communities served in a manner that reflects the physical, psychological and spiritual healing ministry of Christ. Must represent The Core Values of Respect for Human Dignity, Compassionate Caring, Stewardship, Quality, and Justice.

Qualifications

  • Education:
    • Must have successfully completed 14 week program through National Healthcareer Association (NHA) and have documented 80 clinical observation hours. Knowledge of coding, insurance billing, and/or medical terminology strongly desired.
  • License:
    • Required to maintain certification from National Healthcareer Association (NHA).
  • Training:
    • Eight to ten weeks of orientation with preceptor. Required to complete and show competency of CCMA training program through Memorial Hospital and Healthcare Center. CPR Provider-C required.
  • Experience:
    • Prefer a minimum of 1 year in a healthcare related role.
  • Job Knowledge, Skills, and Abilities:
    • Must have effective interpersonal skills and demonstrate strong written and verbal communication with internal and external contacts including but not limited to providers, co-workers, patients and family members, other MPM clinics, hospital staff, billing office and payers. Tactfulness, good judgment, courtesy, positive attitude, patience and the ability to work cooperatively with others is required on an ongoing basis. Must maintain confidentiality and discuss patient data or other related work information with authorized individuals only. Must effectively organize and prioritize workload, and manage multiple tasks. Accurate data entry required. Must have the ability to read and apply policies and procedures with attention to detail. Must be proficient in keyboarding, computer operating systems and applications.

Performance Requirements

  • Responsibility:
    • Coordinates all administrative and clinical functions of the office.
      • Administrative Functions include but not limited to: Answering phone calls, taking messages and routing to appropriate personnel and maintaining neatness in reception area. Greet patients, gather patient information, update patient account and ensure accuracy of patients' demographics. Confirm insurance and verify applicable eligibility. Prepare encounter forms and educate patients on required forms such as HIPAA/Patient Financial Responsibility, Medicare as Secondary Form, etc. Maintain appointment schedule per provider template or otherwise as directed. Monitor and distribute documents that are received via fax. Follow process for patient appointment reminders. Record no-shows and send follow-up letter, if necessary. Schedule referrals, outpatient procedures, and other patient appointments as directed by practice manager. Additional duties (subject to clinic location) may include prior authorizations, medical records release, charge entry, and charge corrections. Responsible for collecting appropriate payments for current visit and patient due balances. Assist Practice Manager and/or Director of Medical Practice Management with additional tasks as assigned. Some travel required to provide appropriate coverage to other offices.
  • Clinical functions include but not limited to assisting patients to exam rooms, medical histories, vital signs, assistance with exams/procedures, maintain/ordering stock in exam rooms and medical supply inventories, scheduling procedures and referrals. Responsible for cleaning treatment rooms between patients and at the end of the day along with proper cleaning and storage of all equipment used in patient treatment. Responsible for disposal of all toxic waste in accordance with local, state, federal guidelines. Assists with other duties as requested.
  • Physical Demands:
    • Proper body mechanics is necessary in completing tasks requiring physical effort such as frequent walking, standing, sitting, stooping, lifting up to 100 pounds and pushing up to 250 pounds. Manual dexterity for handling office and computer equipment required. Visual, auditory, and speech acuity required. Work space is well-lighted, heated, and ventilated. Requires working under stressful conditions. Irregular work hours on occasion. Subject to exposure to communicable diseases, toxic chemicals and/or fumes, and potentially dangerous body fluids.
  • Special Demands:
    • Internal contacts with staff, patients and family members. External contacts with other providers, their office personnel, hospital staff, insurance companies, as well as patients and their families. Tactfulness, judgment, courteousness, patience, a positive attitude and the ability to work cooperatively with others required on an ongoing basis to adequately perform in this job. Maintains confidentiality, discusses patient data or other related work information only with authorized personnel or physician in appropriate setting. Responsible for participation and compliance of departmental customer service plan and goals. Reflects the mission, philosophy, core values and customer service plan of Memorial Hospital and Health Care Center in action and attitude.
