The Program Manager for emergency management, environment of care, and safety is assigned to initiatives to align functional objectives to business strategic objectives through the development process. The Program Manager is expected to support a variety of projects from large, complex, corporate initiatives to interdependent sub-projects (programs) with cross-functional teams with the goal of standardizing and optimizing the facilities management business operations. The program manager is also responsible for the execution and tracking of all developed initiatives. They provide a big-picture view of work in progress, issues and risks. They assist the operational leadership team with data gathering, planning, prioritizing, and decision-making for future implemented projects and initiatives while considering the needs and strategic objectives of the business unit and all cross-functional shared services teams. The program manager will also educate the facilities management project team responsible for new customer transitions on standardization projects, adjust existing new customer transition project plans with standardized processes, and adjust any tools and documents related to the initiative as required.
This role will focus on applying for, coordinating, and tracking FEMA public assistance and mitigation grant programs, applying for, coordinating, tracking, and compliance with local, state, federal, and private grant programs, assisting with associate injury data and programs, creating dashboards for the emergency management, environment of care, and safety programs, coordinating rounding tools including leading the change committee, tracking problems and solutions, and providing education to end users, and assisting with other projects and programs as assigned.
This position will be located at Central Office- Indianapolis, IN.
Responsibilities:
Program Management (35%)
  • Assemble data for planning, prioritizing, and decision making related to business operations.
  • Develop initiatives using milestones and activities using knowledge of organizational structure.
  • Assemble and direct cross-functional teams to develop and implement new business standardization and optimization processes.
  • Provide direct support and coaching to front-line managers and supervisors as they implement new processes.
  • Ensure that project work efforts remain feasible from a business standpoint and realizes benefits.
  • Group, manage, and prioritize projects based on understanding the organization strategy and key business departments.
  • Communicate the overall vision and interdependency of initiatives related to the organizational strategy.
  • Adjust project load on corporate and field stakeholders based on changing and conflicting priorities.
  • Assist the facilities management project team responsible for new customer transitions in adjusting existing project plans and understanding key business strategies.

Change Management (30%)
  • Assess and manage the change impact by integrating change management strategies into project plans.
  • Consult and coach project teams.
  • Support organizational design and definition of roles and responsibilities.
  • Evaluate and ensure user readiness.
  • Identify stakeholders and provide timely information to support the change management objectives while ensuring milestones are met.
  • Create, manage, and track all tasks associated with developing and implementing a new business process including those associated with cross-functional departments.
  • Implement controls to monitor the new process after implementation.

Process Development and Improvement (35%)
  • Develop documentation and tools as needed with new project initiatives.
  • Identify areas of process improvement within the business unit and shared services.
  • Serve as project manager or project participant on corporate-wide continuous improvements initiatives and cross-functional projects.
Qualifications:

Education:

  • Bachelor’s degree in a related field or equivalent combination of experience and education required
  • MBA preferred


License/Certification:

  • Ability to acquire PMP within 1 year of onboarding required
  • IS-100, IS-200, IS-700, IS-800 required
  • PMP preferred
  • CHSP, CHEP, CEM preferred


Experience:

  • Prior experience in Facilities Management or Healthcare required
  • 5 years’ Project Management experience required
  • Experience with the FEMA Public Assistance and Mitigation Grant programs required
  • Experience in writing grants for local, state, or federal funding required
  • 3-5 years Program Management experience required
  • Prior experience in Safety, Emergency Management, or Healthcare required

  • Experience with MS Office Suite, Visio, SmartSheet, and web technologies required.
  • Ability to deal effectively with diverse roles, backgrounds and expectations.
  • Project management skills including coordination, communication and adherence to budget and completion goals, prioritization and troubleshooting.
  • Ability to influence others and move toward a common vision or goal.
  • Flexible and adaptable; able to work in ambiguous situations.
  • Shared Services and business unit operational knowledge on day to day activities and strategic initiatives.
